Role Overview
This position sits at the heart of two interconnected academic support teams: the Office of Faculty Affairs and the Centre for Teaching Excellence. You will keep daily operations running smoothly, coordinate faculty-facing programmes, and ensure that information flows clearly between faculty members, administrators, and university leadership. Your work directly enables faculty development initiatives, teaching quality projects, and administrative processes to happen on time and without friction.
Key Responsibilities
- Provide front-line administrative support for the office, including handling correspondence, answering routine queries from faculty and staff, and maintaining organised filing and record systems.
- Coordinate calendars, schedule meetings, and arrange logistics for events, workshops, and training sessions tied to faculty affairs and teaching excellence.
- Act as a communication liaison between internal departments and external stakeholders, ensuring messages, updates, and documentation are shared promptly and accurately.
- Support the planning and delivery of faculty development initiatives, including managing participant registrations, sending reminders and follow-ups, and preparing materials.
- Assist with the administration of teaching award processes, from collecting nominations to coordinating review timelines and notifying recipients.
- Maintain and update databases that track faculty affairs activities, teaching excellence projects, and reporting metrics, ensuring data is accurate and accessible.
- Prepare summaries, reports, and basic correspondence to support decision-making and monitor the progress of ongoing programmes.
Requirements & Qualifications
- Bachelor's degree in business administration, office management, education administration, or a closely related discipline.
- At least two years of professional experience in academic administration, faculty affairs, or professional development support within a university or similar educational environment.
- Demonstrated ability to manage multiple tasks and projects simultaneously, prioritising effectively in a fast-paced office setting.
- Strong organisational skills with close attention to detail, particularly when maintaining records, managing event logistics, and preparing reports.
- Excellent written and verbal communication skills, with the confidence to interact professionally with faculty, senior administrators, and external partners.
- Proficiency with standard office software, including word processing, spreadsheets, email, and calendar tools; experience with database management is an advantage.
