Role Overview
You will act as the operational backbone of a professional office along Kikuyu / Kiambu Road, ensuring that day-to-day administrative tasks run without friction. Your work directly supports senior leadership by keeping records orderly, communications flowing, and the workplace well-stocked and presentable. Expect a mix of behind-the-scenes coordination and front-desk interaction, where your ability to juggle priorities keeps the entire team productive.
Key Responsibilities
- Oversee the office's daily administrative rhythm, from opening procedures to end-of-day checks, maintaining a clean, organized, and welcoming environment.
- Build and maintain structured filing systems—both physical and digital—so that any document, contract, or staff file can be located within minutes.
- Monitor stock levels for stationery, cleaning supplies, and general office consumables, placing orders and tracking spend against the monthly budget.
- Coordinate the schedules of management, including meeting bookings, appointment slots, and internal calendar synchronization across departments.
- Serve as the first point of contact for visitors, telephone calls, and official emails, directing inquiries to the right person and ensuring timely follow-ups.
- Draft professional correspondence, memos, meeting minutes, and brief summaries for leadership review and distribution.
- Liaise with external vendors and service providers—such as utility companies, cleaners, and maintenance technicians—to keep office facilities operational.
- Support the onboarding process for new hires by preparing workstations, documentation, and introductory materials ahead of their start date.
Requirements & Qualifications
- A diploma or bachelor's degree in business administration, office management, public administration, or a closely related discipline.
- At least two years of hands-on experience in office administration, front office coordination, or executive support roles.
- Strong proficiency with Microsoft Office applications—Word, Excel, PowerPoint, and Outlook—along with comfort using digital record-keeping tools.
- Excellent written and verbal communication skills in both English and Kiswahili, enabling clear interaction with clients, staff, and vendors.
- Proven ability to handle multiple tasks simultaneously while maintaining accuracy and meeting deadlines.
- A professional, courteous demeanor when dealing with visitors and clients, plus a background in reception or customer service is a plus.
- High level of discretion and integrity when handling confidential company documents, personnel records, and executive communications.
