Role Overview
You will act as the primary travel planner and point of contact for Norwegian-speaking clients looking to explore Kenya, Tanzania, and Uganda. Day to day, you will turn incoming enquiries into well-structured itineraries, handle the booking and payment workflow, and stay on top of each traveller's needs from first message until they return home. Your work directly affects the agency's reputation for smooth, personalised East African safaris, and your ability to manage multiple trips at once keeps the whole operation running without friction.
Key Responsibilities
- Respond to incoming client enquiries across WhatsApp, email, and phone, converting conversations into confirmed bookings.
- Design custom travel routes and day-by-day itineraries that match each client's preferences, budget, and travel style.
- Prepare accurate invoices, send payment reminders, and track outstanding balances until each booking is fully settled.
- Proactively manage post-booking communication, including schedule changes, hotel upgrades, and any last-minute adjustments.
- Troubleshoot travel disruptions, guest complaints, and on-ground issues with clear, calm solutions that protect the client's experience.
- Log sales activity and contribute to weekly and monthly revenue targets by identifying upselling opportunities during the planning process.
- Coordinate with partner lodges, drivers, and guides to ensure every itinerary detail is confirmed before departure.
Requirements & Qualifications
- Diploma or Bachelor's degree in Hospitality, Tourism, or a directly related field.
- Native-level fluency in Norwegian, both written and spoken, with the ability to craft polished client-facing correspondence.
- Minimum of two years of hands-on experience in tour consulting, travel operations, or hotel front-office roles.
- Demonstrated knowledge of East African destinations, specifically Kenya, Tanzania, and Uganda, including national parks, accommodation options, and seasonal considerations.
- Strong verbal and written communication skills in a second language (English) for liaising with suppliers and partners.
- Proven ability to manage several client bookings simultaneously while meeting tight deadlines and maintaining accuracy.
- Flexibility to work outside standard office hours when client needs or time zone differences require it.
