Role Overview
This full-time role at a private medical clinic in Deira combines reception duties with clinical coding and insurance administration. On a typical day, you will welcome and register patients, manage appointment schedules, respond to phone and WhatsApp enquiries, and then turn to the technical side of the role — translating diagnoses and procedures into accurate medical codes, preparing insurance claims, and chasing outstanding payments. Your work keeps the clinic running smoothly on both the patient-facing and revenue sides, so a balance of warm customer service and precise data handling is critical.
Key Responsibilities
- Handle front desk operations, including patient check-in, registration, appointment booking, and directing visitors to the right department.
- Manage telephone calls and WhatsApp messages, providing clear responses to patient enquiries and coordinating follow-up visits or referrals.
- Assign accurate medical codes for diagnoses, procedures, and treatments, and ensure all billing entries correspond to the services provided.
- Prepare and submit insurance claims to payers, including verifying patient eligibility and benefit coverage before treatment or submission.
- Maintain complete and current patient records within the electronic medical records system, ensuring documentation is organised and accessible to clinical staff.
- Coordinate with doctors, nurses, and laboratory personnel to confirm patient flow, share test results, and resolve any gaps in documentation.
- Process invoices, collect payments, issue receipts, and record financial transactions in the clinic’s billing system.
- Follow up on rejected, pending, or returned insurance claims, identify the reasons for non-payment, and resubmit with corrected documentation when needed.
- Uphold patient confidentiality at all times and ensure that all handling of health information meets clinic policies and DHA regulations.
Requirements & Qualifications
- A diploma or bachelor’s degree in medical coding, healthcare administration, or a related discipline.
- Prior experience in a medical clinic or hospital setting, with a demonstrated understanding of front-office workflows and patient-facing responsibilities.
- Hands-on experience with medical coding and billing, including familiarity with coding systems such as ICD-10 or CPT, and insurance claim processing.
- Practical knowledge of UAE medical insurance procedures, TPA requirements, and the claims lifecycle from eligibility verification to final payment.
- Proficiency with electronic medical records (EMR) software and Microsoft Office tools.
- Strong command of English — both written and spoken — for clear communication with patients, insurers, and clinical colleagues.
- A professional, well-groomed appearance and a courteous, patient-centred attitude even during busy periods.
- Ability to work independently and take ownership of tasks, while also cooperating effectively with a team of medical and administrative staff.
- Immediate availability is preferred, as the clinic is looking to onboard quickly.
- Solid understanding of DHA compliance requirements and a commitment to keeping patient data private and secure.
