Role Overview
This logistics position sits at the heart of our import operations, making sure every shipment moves from overseas supplier to our warehouse without unnecessary delays. You will be the person who keeps the paperwork, payments, and communications flowing between suppliers, shipping lines, clearing agents, and internal teams, so that cargo clears customs on time and production never has to wait on a missing document or misclassified code.
Key Responsibilities
- Draft and file import declaration forms and permit applications, then manage the full paperwork trail from supplier invoice to final delivery.
- Maintain a rolling weekly shipment planner and issue daily status updates covering both import declarations and permit progress.
- Chase suppliers, ocean carriers, and forwarding partners on container bookings, consolidations, and schedule changes to keep every shipment on track.
- Prepare PVOC submissions for KEBS, verify product classifications, and confirm the correct HS codes are applied before documentation is sent.
- Direct customs and freight agents to submit all clearance paperwork before vessel arrival, so no shipment sits at port awaiting documents.
- Arrange marine cargo coverage, issue the relevant insurance certificates to agents, and keep a record of all active policies.
- Monitor cargo release, container loading, and final delivery, while sharing pre-arrival packing lists with the warehouse team ahead of each receipt.
- Coordinate advance payments to agents, update payment schedules, and circulate wire transfer confirmations with reference numbers.
- Check agent invoices against agreed rates, hand them over for costing, and maintain both physical and digital files so every audit is straightforward.
- Collect monthly air and sea freight rate quotes from carriers and distribute these to the wider team for cost planning.
Requirements & Qualifications
- Bachelor’s degree or diploma in supply chain management, logistics, procurement, or a closely related discipline.
- At least three years of hands-on experience as a logistics or imports officer, ideally within pharmaceutical or FMCG manufacturing environments.
- Practical familiarity with KenTrade/KESWS systems, import declaration and permit processing, KEBS PVOC requirements, and HS code classification.
- Working knowledge of SAP and a valid KISIM certification, with the ability to navigate both without constant supervision.
- Strong organisational instincts, reliable problem-solving under pressure, and disciplined time management, paired with clear written and verbal communication.
