Role Overview
The HR & Operations Officer manages the people processes and workforce logistics that keep an event production company ready to deliver client projects. Reporting to the Finance Director, this Nairobi-based role combines employee administration and payroll preparation with the scheduling, briefing and on-site coordination of permanent staff and flexible event crews.
Key Responsibilities
- Administer the employee lifecycle, including contracts, onboarding, confirmations, transfers and exit clearances, and maintain accurate personnel records in physical and digital systems.
- Coordinate recruitment for operational roles, from advertising vacancies and screening applicants to arranging interviews and background checks.
- Prepare monthly payroll inputs by checking timesheets, overtime, statutory allowances and approved leave deductions, and support timely statutory remittances.
- Maintain a vetted roster of freelancers, technicians, creatives and casual event staff, then plan crew numbers and deployment schedules for productions and activations.
- Brief event personnel on site-specific safety procedures, client requirements and conduct expectations; monitor attendance and shifts and record post-event performance feedback.
- Work with creative, technical and logistics teams to track schedules, staffing and resource readiness, flag delivery risks and recommend improvements to deployment processes.
- Handle staff enquiries and workplace grievances, support performance reviews and development planning, and coordinate safety training and internal staff communications.
- Prepare management reports on headcount, staffing costs, absenteeism and crew deployment, while supporting audits, record digitisation and administrative filing.
Requirements & Qualifications
- Bachelor’s degree in Human Resource Management, Business Administration, Operations Management or a related field.
- At least three years of progressive experience in HR operations, workforce coordination or operational administration.
- Experience in events, entertainment production, hospitality, creative agencies or another fast-paced service environment is strongly preferred.
- Demonstrated ability to organise large, flexible workforces, including freelancers and temporary, project-based crews.
- Sound knowledge of Kenyan employment legislation, labour requirements and statutory deductions, including PAYE, NSSF, SHA and the Housing Levy.
- Strong communication and coordination skills, with the ability to work effectively with event crews, creative and technical teams, and company leadership.
- Comfort managing office-based HR responsibilities alongside frequent event-site deployments, with flexibility to work evenings or weekends when productions require it.
- CHRP-K certification or current IHRM membership is an added advantage.
