Role Overview
This pharmacy operations and procurement role keeps branch inventory accurate, products properly stored, and day-to-day processes aligned with PPB, GDP, and internal SOP requirements. You will coordinate purchasing and stock control while supporting customer service, sales, and reliable order fulfilment, and step in to manage branch operations when the Branch Manager is away.
Key Responsibilities
- Maintain compliance with PPB requirements, Good Distribution Practice (GDP), and standard operating procedures.
- Track inventory levels and stock movements; oversee storage conditions, FIFO/FEFO rotation, expiry monitoring, and stock counts.
- Coordinate procurement, stock verification, inter-branch transfers (IBTs), and investigation or reporting of stock discrepancies.
- Identify slow-moving and short-dated products and ensure they are monitored and managed appropriately.
- Process customer complaints, product returns, and goods received notes (GRNs), keeping relevant records up to date.
- Work with sales, retail, and customer service colleagues to support customers and dispatch orders promptly.
- Maintain regulatory and operational documentation, apply quality assurance procedures, and help improve day-to-day efficiency.
- Oversee branch operations in the Branch Manager’s absence and maintain professional relationships with relevant stakeholders.
Requirements & Qualifications
- Diploma in Pharmacy and current registration with the Pharmacy and Poisons Board (PPB), including a valid practising licence.
- At least one year of experience as a Procurement Officer or in a related role.
- Working knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook; experience with Sage ERP is an advantage.
- Strong analytical and problem-solving ability, with sound judgement when addressing operational issues.
- Clear written and verbal communication skills, and the ability to negotiate and administer contracts.
- Excellent attention to detail, organisation, and time management, with the ability to prioritise and handle competing tasks.
- A collaborative, goal-focused approach and the ability to work effectively with colleagues and managers at different levels.
