Role Overview
The HR Supervisor manages the daily processes that support employees from recruitment and onboarding through payroll, performance reviews, and workplace concerns. Reporting to the Senior HR Manager, this role keeps HR operations accurate, timely, and compliant with Kenyan employment requirements while helping employees receive clear, dependable support.
Key Responsibilities
- Coordinate hiring activity by publishing vacancies, reviewing applications, scheduling interviews, and arranging background and academic checks in accordance with company procedures and data protection requirements.
- Lead new-employee orientation and prepare employment contracts using approved templates, securing required approvals and monitoring contract end dates for timely review.
- Gather, check, and process monthly payroll information; verify statutory deductions, submit payroll for approval on schedule, reconcile figures, and respond to employee pay questions confidentially.
- Organise performance review cycles, follow up on outstanding assessments, and validate results for regular management reporting.
- Coordinate workplace injury reports, WIBA claims, and related medical expense claims with employees, insurers, and relevant authorities.
- Arrange health and safety training, coordinate workplace inspections, monitor corrective actions, and keep compliance documentation current.
- Receive and document employee concerns, assist with impartial initial fact-finding, support appropriate resolution, and refer complex or sensitive cases to the Senior HR Manager.
- Coordinate disciplinary processes in line with the Employment Act, 2007, company policy, and fair hearing requirements; maintain confidential case files and flag recurring issues.
- Update employee records and status changes in the HRIS, carry out routine data checks, and protect confidential information while maintaining audit-ready files.
Requirements & Qualifications
- Bachelor’s degree in Human Resource Management or a related discipline, supported by a recognised professional HR qualification.
- Current membership in good standing with the Institute of Human Resource Management (IHRM).
- At least six years of progressive HR experience, including two years in a supervisory position or an HR operations role coordinating team activities.
- Practical experience across recruitment, onboarding, contract administration, employee relations, and performance review coordination.
- Hands-on responsibility for monthly payroll preparation and processing, reconciliation, statutory deduction checks, and resolving payroll queries.
- Strong working knowledge of Kenyan employment law, fair disciplinary and grievance processes, data protection, WIBA administration, and occupational health and safety requirements.
- Proficiency with HR information systems and Microsoft Excel; experience using PTS and biometric timekeeping systems is an advantage.
- High numerical accuracy, sound judgement, discretion, and the ability to maintain complete and reliable records. Experience in a BPO environment is an advantage.
