Role Overview
This role owns the day-to-day delivery of HR services for assigned departments, turning policy and employment law into consistent practice across the employee lifecycle — recruitment, onboarding, contract administration, training and, where needed, discipline. It is the first point of contact for staff queries and the administrative backbone that keeps recruitment timelines, contract dates, personnel records and Works Council commitments from slipping. Done well, it protects the organisation's legal position while giving employees a fair, well-documented experience.
Key Responsibilities
- Run recruitment for assigned vacancies from shortlisting through interview scheduling, panel participation and candidate feedback, tracking each stage against the recruitment timeline and following up approvals on offer letters and employment documentation so selected candidates are confirmed without delay.
- Deliver induction for designated employee categories and staff the HR helpdesk for assigned departments, resolving routine employee matters promptly and escalating where appropriate.
- Prepare documentation for changes to employment terms, secure the necessary approvals and advise Payroll so pay and personnel records stay aligned.
- Monitor probation review dates and fixed-term contract expiries, issuing advance alerts and preparing renewal or termination paperwork in time for decisions to be actioned.
- Administer the disciplinary process for supervisory-level staff and below — witness statements, show-cause notices, hearing coordination, minutes, outcome correspondence and filing of disciplinary records.
- Coordinate Works Council meetings and follow outstanding action points through to closure.
- Handle training administration end to end: NITA applications, training memos, trainer bookings, LPO follow-ups, attendance records, certificates, evaluations and internal training sessions.
- Keep HR documentation and reporting in order — opening and continuously updating employee files, refreshing departmental organograms at least monthly, tracking document flow to and from supply chain sites, drafting general HR correspondence for approval, and compiling HR statistics, disciplinary reports, training feedback and Works Council trackers.
Requirements & Qualifications
- Degree or Higher Diploma in Human Resources Management.
- Membership of the Institute of Human Resources Management (IHRM).
- At least 3 years in a generalist HR role, including experience of mass recruitment and of handling disciplinary and grievance cases across a large workforce.
- Working knowledge of labour laws and their practical application to contracts, discipline, employee relations and compliance.
