Job Role: HR Coordinator

Role Overview

Our client is a community-focused NGO dedicated to sustainable livelihoods and family health across Africa. They are seeking a meticulous HR Coordinator to drive the efficient delivery of human resource services at their Chogoria office. This role serves as a vital link between administration and program management, focusing on recruitment logistics, meticulous record-keeping, and the administration of staff benefits. You will ensure that all HR activities remain strictly compliant with Kenyan labor laws and internal organizational policies, acting as an objective facilitator for personnel processes without holding unilateral staffing authority.

Key Responsibilities

HR Governance & Record Management

  • Monitor and enforce compliance with statutory regulations and internal HR manuals.

  • Develop and maintain HR documentation, including employment contracts, confirmation letters, and probation trackers.

  • Manage the centralized HR Calendar, ensuring timely alerts for contract renewals and performance milestones.

  • M aintain high-integrity physical and digital staff files, ensuring total confidentiality and accuracy.

  • Oversee the staff exit and entry lifecycle, including system deactivation and clearance protocols.

Benefits & Administrative Coordination

  • Facilitate staff enrolment into medical, pension, and insurance schemes upon onboarding.

  • Act as the primary liaison for benefit providers, following up on medical claims and reimbursements.

  • Oversee the leave management system, producing quarterly utilization and reconciliation reports.

  • Provide the Finance department with accurate monthly payroll updates regarding new hires, exits, and adjustments.

Recruitment & Talent Development

  • Partner with hiring managers to coordinate transparent recruitment cycles, from drafting advertisements to managing interview logistics.

  • Conduct rigorous employment verification and reference checks for prospective hires.

  • Design and facilitate induction programs to ensure seamless onboarding for new staff.

  • Collate organizational training needs and maintain a comprehensive staff capacity-building database.

  • Sensitize the workforce on updated HR policies and professional standards.

Employee Relations & Workplace Culture

  • Serve as a neutral point of contact for staff concerns, promoting a positive and inclusive working environment.

  • Assist senior leadership in disciplinary proceedings, ensuring all conflict resolution is documented legally and ethically.

  • Foster professional relationships with external stakeholders, including government agencies and insurance consultants.

Skills & Experience Required

Academic & Professional Background

  • Education: Bachelor’s Degree in HR Management, Business Administration (HR Option), or a related field.

  • Added Advantage: A Higher Diploma in HRM or active membership with IHRM-Kenya.

  • Experience: 3–5 years of progressive HR experience, with a strong preference for candidates from the NGO sector.

  • Technical Knowledge: Deep understanding of Kenyan Labour Laws and statutory requirements (NSSF, SHIF, PAYE).

Functional Competencies

  • Integrity: Proven ability to handle sensitive personnel information with absolute confidentiality.

  • Coordination: Superior organizational skills with the ability to manage complex calendars and multiple deadlines.

  • Interpersonal Skills: Excellent conflict resolution abilities and a collaborative approach to multi-disciplinary teams.

  • Systems: Proficiency in MS Office and experience with HR Information Systems (HRIS).
