Role Overview
As an HR Assistant based in Abu Dhabi, you will be the day-to-day backbone of the Human Resources function, keeping employee files, attendance data, and leave balances accurate so that payroll, performance reviews, and compliance checks all run on reliable information. You will work closely with HR colleagues and employees across the business, acting as the first point of contact for routine HR queries and documentation requests. Getting the details right matters here: clean records and correctly tracked absences protect both the company and its staff under UAE employment rules, and they free the wider HR team to focus on bigger people priorities.
Key Responsibilities
- Create, file, and continuously update physical and electronic personnel files, ensuring every employee record reflects the current contract, personal details, and job information.
- Administer daily HR administration, including preparing letters, forms, and internal memos, and responding to routine employee questions about policies and procedures.
- Record and monitor daily attendance, verifying timesheets and flagging lateness, absence, or irregularities to the HR supervisor for follow-up.
- Process leave applications end to end, tracking annual, sick, and unpaid leave balances and keeping absence records reconciled against attendance data.
- Support employee onboarding and offboarding paperwork, collecting required documents and making sure completed files are stored correctly and confidentially.
- Carry out periodic audits of HR data to identify gaps, duplicates, or outdated entries, and correct them before they affect payroll or compliance reporting.
- Prepare straightforward HR reports and summaries on attendance, leave usage, and headcount when requested by the HR team.
- Take on additional administrative tasks and short-term projects as the HR department's workload requires.
Requirements & Qualifications
- At least two years of hands-on experience in an HR assistant, HR administrator, or similar personnel support role.
- Diploma or bachelor's degree in human resources, business administration, or a closely related discipline.
- Working knowledge of UAE Labour Law and the documentation standards that apply to employee records in the UAE.
- Demonstrated experience managing attendance, timekeeping, and leave records, ideally using an HR or timekeeping system alongside manual logs.
- Comfortable with Microsoft Office, particularly Excel and Word, for maintaining records, drafting documents, and building simple reports.
- Strong written and spoken communication skills in a multicultural workplace, with the ability to explain HR processes clearly and politely.
- Highly organised and detail-focused, able to keep multiple record sets accurate and up to date under regular deadlines.
- Proven discretion in handling confidential employee information and a professional, trustworthy approach to sensitive matters.
- Prior work experience in the UAE is preferred.
