Role Overview
This position combines human resources support with general school administration, making it ideal for someone who enjoys variety and direct contact with staff and parents. Day to day, you will keep personnel records accurate, facilitate smooth onboarding for new employees, and ensure the front office runs professionally. Your work directly supports the school’s ability to operate efficiently, maintain compliance, and create a welcoming environment for families and staff alike.
Key Responsibilities
- Coordinate the full recruitment cycle, from posting vacancies and scheduling interviews to preparing offer letters and conducting orientation for new hires.
- Maintain up-to-date personnel files, including contracts, medical information, and performance review documents, while ensuring confidentiality at all times.
- Track staff attendance, leave balances, and absences, producing monthly reports for management review.
- Serve as a first point of contact at the front desk, responding to parent and visitor inquiries with professionalism and directing them to the appropriate staff member.
- Draft official letters, internal memos, reports, and other school documents, adhering to the institution's formatting and tone standards.
- Monitor office supplies, anticipate needs, and place orders within budget while keeping inventory records.
- Assist in planning school events, staff meetings, and team-building activities, handling logistics such as venue setup, communication, and refreshments.
- Support HR documentation for payroll, statutory deductions, and employee records, liaising with finance when necessary.
Requirements & Qualifications
- A Diploma or Degree in Human Resources, Business Administration, or a related field.
- At least 1–2 years of hands-on experience in HR or administrative work; prior experience in a school or educational setting is a distinct advantage.
- Strong written and verbal communication skills, with the ability to interact tactfully with parents, teachers, and external partners.
- Solid working knowledge of MS Office (Word, Excel, Outlook) or Google Workspace (Docs, Sheets, Gmail, Calendar).
- Demonstrated integrity, a high level of organization, and a meticulous approach to documentation and record-keeping.
- Ability to multitask, prioritize tasks, and remain calm during busy periods at the front desk.
