Job Description

Role Overview

This position sits at the junction of daily transport operations and data-driven fleet oversight, with a core focus on keeping fuel consumption tightly controlled and telematics systems running reliably. You will spend your days reconciling fuel usage against vehicle tracking data, investigating any deviations, and translating raw fleet telemetry into clear reports that guide operational decisions. Your work directly supports cost reduction, compliance with fuel policies, and the overall efficiency of a transport operation that depends on accurate, timely information.

Key Responsibilities

  • Track and compare fuel usage across individual vehicles, assigned drivers, and specific routes, flagging any case that exceeds the established consumption standards.
  • Cross-check fuel purchase and dispensing records against GPS and telematics output, digging into losses, mismatches, or patterns that suggest theft, leakage, or operational error.
  • Keep fuel logs current and produce structured summaries on a daily, weekly, and monthly basis for management review.
  • Contribute to fuel-saving programmes by measuring baseline performance, tracking progress, and reporting results against agreed efficiency targets.
  • Manage the day-to-day operation of GPS tracking and telematics platforms, verifying uptime and escalating hardware or software faults before they disrupt reporting.
  • Use telematics alerts to monitor vehicle utilisation, excessive idling, speeding, harsh braking, off-route movement, and other risky driver behaviours.
  • Assess fleet performance data to pinpoint assets that are underperforming or costing more than expected, then recommend concrete operational changes to cut expenses and improve productivity.
  • Build and maintain dashboards that cover fuel efficiency, vehicle usage, telematics compliance, and driver performance for both routine and ad hoc reporting needs.
  • Uphold internal fuel management rules, telematics procedures, and standard operating procedures, making sure every step of the process is documented for audit readiness.
  • Act as a liaison between drivers, supervisors, and telematics service providers, resolving system issues and improving coordination when problems arise.
  • Support formal investigations into fuel discrepancies, telematics alerts, accidents, and compliance violations by preparing data and documentation.
  • Handle additional fleet-related tasks assigned by the Fleet & Transport Solutions Manager as operational needs evolve.

Requirements & Qualifications

  • At least two years of hands-on experience in fleet management, transport operations, fuel administration, or telematics system oversight.
  • Demonstrated ability to reconcile fuel transactions, manage GPS tracking tools, and produce fleet performance reports.
  • Working knowledge of fuel control processes, transport operations, and the common causes of fuel variance in a vehicle fleet.
  • Strong analytical skills with the ability to spot trends, investigate anomalies, and turn raw data into practical recommendations.
  • Proficiency with Microsoft Office, especially Excel for data handling and reporting, plus Word and Outlook for day-to-day communication.
  • Familiarity with Transport Management Systems, Fleet Management Systems, or telematics platforms is considered a strong advantage.
  • Excellent problem-solving skills and attention to detail, with the capacity to manage multiple data sources and prioritise urgent issues.
  • Clear communication skills for liaising with drivers, supervisors, and external service providers over operational and technical matters.
