Role Overview
This position combines front-office hospitality with hands-on marketing support inside a school environment in Kilifi. You will be the first point of contact for families and visitors, while also taking charge of admission paperwork, daily student transport coordination, and the creation of promotional materials that keep the school visible and welcoming to the local community.
Key Responsibilities
- Welcome parents, prospective families, and official visitors, ensuring every person who enters the school receives clear, courteous guidance and feels at ease.
- Manage all incoming phone calls, WhatsApp messages, and email enquiries, directing each query to the appropriate staff member or resolving it personally without delay.
- Explain the school’s curriculum options, admission criteria, extracurricular offerings, and day-to-day operational policies to families in a way that is accurate, accessible, and reassuring.
- Guide prospective families through each stage of the enrolment process, from initial enquiry through document submission, while carefully tracking applicant status and following up where needed.
- Collect, verify, and securely store student registration documents, maintaining well-organised admission files and daily logs of all parent and visitor communications.
- Coordinate daily school bus routes, drop-off timings, and student transit plans with the driving team, and act as the main contact for parents seeking updates on delays or route changes.
- Support open days, enrolment drives, and community outreach events by helping to plan activities and coordinating the practical details that make these occasions run smoothly.
- Design promotional posters, social media graphics, notices, and other digital or printed marketing materials using Canva or similar tools, making sure every piece reflects the school’s identity and tone.
Requirements & Qualifications
- Diploma or Bachelor’s Degree in Business Administration, Marketing, Public Relations, Communication, or Educational Management.
- At least one to two years of hands-on experience in customer service, front desk administration, student admissions, or brand marketing; prior work within a school or academic setting is a strong advantage.
- Solid working knowledge of Canva or equivalent design platforms for producing flyers, social media posts, and marketing collateral.
- High proficiency in Microsoft Office, particularly Word, Excel, and Outlook, plus comfort with general administrative software and digital record keeping.
- Excellent verbal and written communication skills in English, with the ability to interact confidently with parents, children, staff, and external stakeholders.
- Strong multitasking ability and meticulous attention to detail, especially when juggling admission paperwork, transport logistics, and marketing deadlines.
- A professional, warm, and organised demeanour suited to representing the school as its primary public face.
