Role Overview
This position is the administrative backbone of a busy vehicle workshop, handling everything from maintenance scheduling to parts tracking. You will work alongside the workshop supervisor to keep repairs running on time, make sure every job is properly documented, and support the team with accurate data for budgeting and compliance. Your day-to-day organization directly affects fleet uptime and cost control, making you essential to smooth workshop operations.
Key Responsibilities
- Build and update preventive maintenance schedules, coordinating with the workshop supervisor to align planned repairs with daily workload.
- Create, assign, and close job cards for every maintenance and repair task, ensuring all work is captured accurately and on time.
- Monitor the vehicle tracking system to flag upcoming services, inspections, and certification deadlines before they are missed.
- Maintain structured records for work orders, job cards, parts requisitions, and inspection reports, keeping files organized for quick access and audits.
- Refresh the vehicle maintenance tracker each day, noting completed jobs, pending work, and any delays in parts or service.
- Raise spare parts and consumable requisitions, then follow up with procurement and stores to guarantee parts arrive when mechanics need them.
- Track parts usage per job, identifying patterns of waste or overspend to support cost-control efforts.
- Prepare weekly and monthly reports covering maintenance status, costs, and downtime; support the workshop supervisor in building budget inputs and comparing planned versus actual spending.
Requirements & Qualifications
- Degree, diploma, or vocational certificate in automotive engineering, data management, or a related technical field.
- Minimum one year of experience in a workshop, fleet operations, or a technical administrative role.
- Solid understanding of basic automotive systems, components, and common repair workflows.
- Working knowledge of inventory management and procurement processes, including raising requisitions and tracking stock levels.
- Comfortable using digital tracking tools, spreadsheets, and fleet management software to maintain accurate records.
- Strong attention to detail and the ability to prioritize multiple tasks in a fast-paced workshop environment.
- Good communication skills for coordinating between mechanics, supervisors, procurement staff, and stores personnel.
