Role Overview
You will act as the dedicated travel specialist for Danish-speaking clients, guiding them from their first enquiry through to their return home from an East African journey. Your days will be split between consultative conversations, itinerary planning, and the administrative follow-through that keeps bookings on schedule and payments on track. By combining your destination knowledge with strong client care, you will directly support the company’s sales growth and reputation as a trusted organiser of travel to Kenya, Tanzania, and Uganda.
Key Responsibilities
- Serve as the primary point of contact for Danish-speaking clients, responding to enquiries and booking requests via WhatsApp, email, and phone.
- Build personalised itineraries by matching each traveller's preferences with suitable accommodation, activities, transfers, and tour options across Kenya, Tanzania, and Uganda.
- Prepare and issue accurate invoices, monitor payment milestones, and proactively follow up on outstanding balances to keep the booking pipeline healthy.
- Manage booking changes, cancellations, and updates by coordinating with suppliers and internal operations teams.
- Address client feedback and resolve travel-related problems quickly, whether they occur before departure or while the client is on the ground.
- Support weekly and monthly sales objectives by spotting opportunities to upgrade experiences and encouraging repeat or referral bookings.
- Keep clear, up-to-date records of client interactions, travel documents, and payment histories in internal systems.
- Lend operational support to colleagues during peak booking periods and when unforeseen scheduling issues arise.
Requirements & Qualifications
- Diploma or degree in hospitality, tourism, business, or a closely related field.
- Excellent command of the Danish language, both written and spoken, with the ability to communicate confidently and politely with clients at every stage of their journey.
- Minimum of two years' professional experience in tour consulting, travel advisory, or hotel operations.
- Proven experience selling Kenya and other East African destinations, including Tanzania and Uganda, with a clear understanding of what makes these markets unique.
- Strong written and verbal communication skills, capable of explaining complex travel arrangements in simple, reassuring terms.
- Effective organisational skills, able to juggle multiple clients with different timelines and competing deadlines without losing attention to detail.
- Flexibility to work varied hours when required, including occasional weekends or early mornings, to accommodate clients in different time zones or urgent travel needs.
