Job Description

Role Overview

As an Account Manager, you will guide real estate transactions from intake through closing, keeping documentation, financial reviews, deadlines, and stakeholder communication on track. Your work will help prevent errors and delays while giving homeowners and real estate professionals clear, dependable support throughout complex transactions.

You will manage several active files at once, investigate discrepancies, and resolve day-to-day issues with limited supervision. After initial training, you will take increasing ownership of transactions and coordinate the work of account assistants.

Key Responsibilities

  • Oversee multiple real estate files from initiation to closing, tracking progress, required actions, responsible parties, and deadlines.
  • Coordinate with title companies, attorneys, agents, homeowners, account assistants, and internal colleagues to obtain information and keep transactions moving.
  • Review contracts, buyer submissions, approval letters, and supporting paperwork for completeness, accuracy, and alignment with established requirements.
  • Examine financial records such as payslips, tax returns, and bank statements, and identify missing information or inconsistencies.
  • Compare HUD and settlement statements with contracts, approval letters, lender requirements, and closing instructions; arrange corrections where needed.
  • Explain transaction terms and closing requirements in clear language, manage sensitive conversations professionally, and follow up on outstanding signatures and documents.
  • Maintain accurate digital files, transaction trackers, and action logs while prioritizing urgent matters and escalating complex issues with practical recommendations.
  • Support reverse underwriting and unusual distressed-property transactions, and flag recurring workflow problems that may warrant improvement.

Requirements & Qualifications

  • Bachelor’s or master’s degree, or equivalent relevant professional experience.
  • At least five years of relevant experience in areas such as real estate, title services, mortgage operations, legal closing, financial services, contract administration, account management, document auditing, or underwriting support.
  • Experience working remotely in a professional setting and independently managing multiple files, stakeholders, deadlines, and detailed documentation.
  • Strong analytical and numerical skills, including the ability to review financial documents and resolve discrepancies; experience with HUD or settlement statements is strongly preferred.
  • Excellent written and spoken English, with the ability to write concise business emails, handle phone conversations, and explain complex requirements clearly.
  • Sound judgment, negotiation and relationship-management skills, careful attention to detail, and confidence handling difficult conversations and competing priorities.
  • Proficiency with Windows and Microsoft Office, including Word, Excel, and Outlook; familiarity with Google Workspace, Adobe Acrobat, CRM software such as Salesforce, and digital document-management systems.
  • Comfort using databases, online workflows, and task-management tools, and the ability to learn unfamiliar software, including phone systems such as RingCentral. Basic familiarity with AI tools is an advantage.
  • A reliable computer and smartphone, plus an internet connection of at least 100 Mbps with unlimited data.
  • Availability for full-time work, 40 hours per week, Monday through Friday, 9:00 a.m.–7:00 p.m. U.S. hours, with core coverage for Central and Mountain Time Zones. Consistent availability during agreed working hours is required.
