Description:

Albert Einstein College of Medicine is seeking a highly organized and detail-oriented Administrative Assistant III to support the daily operations of the Brain and Cognitive Health Technology (BCHT) division. This role is suited for individuals who thrive in academic and research environments and can effectively manage multiple administrative responsibilities with accuracy and professionalism.

The selected candidate will play a key role in supporting faculty, researchers, and departmental staff by ensuring smooth coordination of communication, documentation, scheduling, and operational tasks. This position also requires comfort with modern digital tools, collaboration platforms, and evolving workplace technologies.

The role offers an opportunity to contribute to a dynamic academic research setting while supporting innovative work in cognitive health and neuroscience-related initiatives.

Key Responsibilities:

• Provide administrative support to faculty members and departmental staff.

• Prepare, format, and distribute correspondence, reports, presentations, and meeting materials.

• Proofread and edit documents to ensure accuracy, clarity, and proper formatting.

• Manage calendars, schedule appointments, and coordinate meetings and events.

• Support organization of seminars, departmental meetings, and research sessions.

• Maintain physical and digital filing systems, databases, and shared records.

• Assist with office operations including supply requests, reimbursements, and work orders.

• Prepare travel requests, expense reports, and purchasing documentation.

• Coordinate mail distribution, reception duties, and general office support tasks.

• Assist with virtual meetings using Zoom and Microsoft Teams.

• Support the use of digital platforms, cloud-based systems, and collaboration tools.

• Maintain professionalism when interacting with faculty, students, researchers, and external partners.

• Adapt to new technologies, including AI tools and automation systems as required.

• Perform additional administrative and project-related tasks as assigned.

Requirements:

• High School Diploma required; additional education preferred.

• Minimum 4+ years of administrative or executive support experience.

• Strong written and verbal communication skills.

• Excellent organizational and multitasking abilities.

• Ability to work independently and within a team environment.

• Strong attention to detail and problem-solving skills.

• Ability to handle confidential and sensitive information professionally.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
