Description:

Somewhere is hiring a Virtual Assistant (Coaching Support Specialist) to provide administrative, operational, and analytical support to its remote coaching team. This fully remote position is ideal for highly organized professionals who excel at managing data, coordinating schedules, and supporting business operations in a fast-paced consulting environment.

Working closely with sales coaches, the successful candidate will help streamline daily workflows by maintaining CRM records, preparing coaching session materials, generating reports, and coordinating client follow-ups. This role allows coaches to focus on client development while ensuring operational processes run efficiently.

Key Responsibilities:

• Prepare structured meeting agendas by reviewing coach notes, client updates, and performance metrics.

• Manage coach calendars, schedule appointments, and coordinate daily coaching sessions.

• Organize follow-up tasks, monitor action items, and help ensure client accountability.

• Maintain and organize digital files, internal documentation, and business records.

• Update, audit, and maintain accurate client information within CRM platforms.

• Track client performance throughout the coaching lifecycle.

• Generate CRM dashboards, reports, and performance summaries.

• Analyze sales and performance data to identify trends, opportunities, and areas requiring attention.

• Support ongoing process improvements and administrative workflows.

Requirements:

• 2–5 years of experience as a Virtual Assistant, Operations Assistant, or Administrative Assistant.

• Previous experience supporting consultants, coaches, or B2B sales teams is preferred.

• Excellent written and verbal English communication skills.

• Hands-on experience with HubSpot, Pipedrive, or similar CRM platforms.

• Strong proficiency in Microsoft Excel or Google Sheets.

• Ability to organize, analyze, and present business data accurately.

• Self-motivated with the ability to work independently in a fully remote environment.

• Exceptional attention to detail, organization, and time management.

• Experience building CRM reports or workflow automations is an advantage.

• Previous exposure to business consulting, contracting, or restoration industries is preferred.

• Strong knowledge of:

• HubSpot, Pipedrive, or similar CRM systems.

• Microsoft Excel or Google Sheets for reporting and data analysis.

• Calendar management, administrative coordination, and business documentation
