Role Overview
This position keeps a funeral services fleet moving around the clock, matching the right vehicle and driver to every assignment — hospital collections, transfers to and from the mortuary, airport pickups, upcountry processions and repatriations — while holding the operation to strict standards of timeliness and respectful handling. You will be the person drivers report to across both day and night shifts, and the one accountable for whether a vehicle leaves the yard clean, fuelled, roadworthy and legally compliant. The work matters because families are depending on a schedule that cannot slip, and every delay or mechanical failure is felt directly by grieving clients.
Location: Mbagathi Road, Nairobi, Kenya · Type: Full-time, on-site · Salary: KSh 40,000 per month
Key Responsibilities
- Build and run the daily dispatch plan, assigning vehicles to body collections, mortuary movements, airport arrivals, burial processions, repatriations and general errands, and re-prioritising immediately when an urgent hospital call comes in.
- Track fleet activity in real time — vehicle positions, trip status and turnaround times — so that no assignment is sitting idle or double-booked.
- Own fuel accountability: monitor consumption patterns, verify mileage and movement logbook entries, cross-check them against GPS data, and flag unexplained variances.
- Inspect every unit before it goes out, confirming it is washed, sanitised, fuelled and serviced, and that onboard safety kits and documentation are present.
- Supervise day- and night-shift drivers, publish and enforce duty rosters, and hold the team to standards of speed control, route discipline, presentable uniform and calm, compassionate conduct with families.
- Run regular briefing sessions covering road safety, defensive driving, vehicle care, customer etiquette and the correct handling of human remains.
- Manage statutory and maintenance calendars — licensing, comprehensive insurance, NTSA inspection certificates, permits, preventive servicing, tyre replacement and emergency repairs — liaising with garages and service centres to keep downtime short.
- Handle driver discipline, including lateness and policy breaches, escalating serious cases to Human Resources, and see accident investigations, damage assessments and insurance claims through to completion.
- Produce daily, weekly and monthly reports on maintenance costs, fuel spend, driver performance and operational bottlenecks, and maintain records of vehicle assignments, client feedback and inter-county transport permits.
Requirements & Qualifications
- Education: Diploma in Logistics, Transport Management, Supply Chain Management, Business Administration or a comparable field.
- Licensing: Valid Kenyan driving licence, Class B at minimum; Class BCE with a clean record is a strong advantage.
- Experience: 3–5 years of hands-on fleet coordination or transport supervision, ideally in a sensitive, high-pressure or 24/7 service setting.
- Geographic knowledge: Confident navigation of Nairobi routes, national inter-county highways and airport logistics procedures.
- People leadership: Proven ability to manage shift-based drivers, enforce route and conduct rules, and stay composed when deadlines are tight.
- Systems and records: Comfortable with GPS tracking platforms, logbook and fuel-tracking records, and routine reporting in spreadsheets or fleet software.
- Personal qualities: High emotional intelligence, discretion and empathy — this is a sector where sensitivity around the deceased and their families is non-negotiable.
