Role Overview
This position owns the entire tender and bid lifecycle for a supplier serving government ministries, hospitals, and institutional laboratories. On a daily basis you will scan procurement portals, interpret complex solicitation documents, assemble compliant submissions, and coordinate with internal teams to ensure every bid is priced accurately and submitted before the deadline. Your work directly determines whether the company wins public contracts, so precision, follow-through, and a deep understanding of Kenyan procurement rules are essential to keeping the revenue pipeline healthy.
Key Responsibilities
- Monitor government and institutional procurement platforms to identify new tender opportunities that align with the company's product portfolio and capacity.
- Analyse each tender notice to confirm eligibility, technical specifications, qualification criteria, and submission timelines before deciding whether to pursue it.
- Draft, compile, and package the full set of tender documents, including technical proposals, commercial offers, compliance forms, and supporting certificates, ensuring strict adherence to the buyer's requirements.
- Build competitive pricing models by analysing cost inputs, market rates, and margins, and collaborate with finance to finalise bid figures that remain profitable yet attractive.
- Coordinate with warehouse, technical, and finance departments to gather inventory records, manufacturer authorisations, bank guarantees, tax clearances, and any other documentation required by the bid.
- Track and renew prequalification registrations, business permits, and compliance certifications to keep the company eligible across all relevant procurement frameworks.
- Arrange bid securities, performance bonds, and insurance documents, then manage the submission process across IFMIS, e-GP, or physical tender boxes as required.
- Maintain relationships with procurement officers and institutional buyers, follow up on tender awards, and support contract execution by liaising on delivery schedules and payment terms.
- Prepare monthly tender activity reports and sales summaries for management, highlighting win rates, pipeline value, and reasons for lost bids.
Requirements & Qualifications
- Bachelor's degree in Business Administration, Sales and Marketing, Procurement, or a closely related field; a relevant diploma combined with proven work experience will also be considered.
- At least one to three years of hands-on experience in tender and bid management or institutional sales, ideally within the medical, laboratory, or healthcare supply sector.
- Demonstrated ability to prepare and submit compliant tender and bid documents for government or institutional buyers, with a portfolio of successfully submitted proposals.
- Working knowledge of Kenya's public procurement legal and regulatory environment, including the PPRA, PPADA, IFMIS, and e-GP platforms, which will be a distinct advantage.
- Strong skills in tender administration, proposal writing, price structuring, and regulatory compliance, combined with attention to detail and the ability to work under tight deadlines.
