Role Overview
This position sits at the heart of the company’s supply flow, making sure the right goods are in the right place at the right time. Day to day, you will receive deliveries, verify them against orders, issue stock to internal teams, and keep accurate records of everything moving through the store. Your attention to detail directly protects the business from stockouts, overstocking, and compliance issues, enabling other departments to operate without disruption.
Key Responsibilities
- Monitor outstanding purchase orders and actively chase suppliers to secure on-time deliveries that match approved order terms.
- Physically inspect all incoming goods, checking quantity, quality, and specification against the original purchase order before accepting them.
- Enter every received invoice into the management system on the same day and generate a Goods Received Note (GRN) for each delivery.
- Process approved internal requisitions, issuing stock from the store within designated time windows and following company replenishment rules.
- Keep the inventory system up to date by posting all stock movements and producing regular reports for management review.
- Support the monthly stock count, investigating discrepancies and reporting findings to the Procurement Manager.
- Maintain a clean, safe, and hazard-free store area, ensuring full compliance with OSHA standards and internal warehouse procedures.
- Flag excess or obsolete stock to the procurement team and assist in coordinating its disposal or return, while gathering user feedback on stores service to drive improvements.
Requirements & Qualifications
- Bachelor’s degree in a business-related field, preferably Supply Chain, Procurement, or a closely related discipline from a recognized institution.
- Professional certification in procurement is strongly preferred.
- At least two years of hands-on experience in procurement, stores management, or inventory control.
- Solid understanding of inventory management systems, GRN processes, and stock reconciliation.
- Ability to identify and resolve operational problems independently and promptly, without constant supervision.
- Excellent written and verbal communication skills, with the confidence to liaise across departments and with external suppliers.
- Strong planning and organizational skills to manage multiple orders, deliveries, and record-keeping duties simultaneously.
- Proven interpersonal and negotiation skills, combined with a high level of integrity in handling stock and financial documentation.
