Role Overview
This position sits within the finance team and keeps the company’s day-to-day accounting operations running smoothly. You will handle invoicing, reconciliations, project cost tracking, and reporting, working closely with project managers to ensure budgets stay on track and income is collected on time. Your accuracy directly supports management decisions and keeps audits and month-end close processes moving without delays.
Key Responsibilities
- Prepare and issue customer invoices while recording all related transactions accurately in QuickBooks.
- Maintain an up-to-date purchase order tracker, checking open orders, billed amounts, and project-linked invoices.
- Perform regular reconciliations for bank accounts, supplier statements, and customer accounts to resolve discrepancies promptly.
- Upload and review weekly project budgets, monitor approved expense requests, and flag any overspending or unauthorised costs.
- Compare project expenditures against approved work plans and budgets, producing variance summaries that project managers can act on.
- Track receivable income, chase overdue payments, and support project managers with collection follow-ups.
- Prepare and deliver regular financial reports, budget updates, and forecasts tailored to each project manager’s needs.
- Contribute to monthly management accounts and assist with audit preparation by organising supporting documentation and schedules.
Requirements & Qualifications
- A Bachelor’s degree or diploma in Accounting, Finance, or a related discipline; a CPA qualification is a strong plus.
- At least 1–2 years of practical experience in an accounts assistant or accounting support role, ideally within a project-based or services environment.
- Solid understanding of accounting principles, general ledger functions, and basic internal control procedures.
- Hands-on proficiency with QuickBooks for invoicing, bank reconciliation, and financial reporting.
- Advanced Excel skills, including pivot tables, VLOOKUP/XLOOKUP, and mapping financial data from exported reports.
- Strong attention to detail with the ability to spot inconsistencies in numbers, transactions, and supporting documents.
- Good analytical thinking and clear communication skills for coordinating with project managers and non-finance staff.
