Role Overview
This role sits at the center of daily operations, blending hands-on HR support with the practical administration that keeps an office running smoothly. You will be the person colleagues turn to for onboarding, records, medical benefits, travel, and compliance matters, while also coordinating the small but critical details like supplies, permits, and vendor relationships. Your work directly ensures that employees have what they need to be productive and that the organization remains compliant and well-organized across both local and expatriate staff.
Key Responsibilities
- Oversee front-office operations and general office administration, creating a welcoming and functional environment for staff and visitors.
- Manage the full employee lifecycle from an administrative standpoint, including onboarding, offboarding, document collection, and maintaining accurate HR records.
- Administer the company medical scheme, handling enrollments, claims support, and employee queries related to health benefits.
- Coordinate expatriate immigration processes, including work permits and special passes, ensuring timely renewals and compliance with regulations.
- Handle office supplies, facilities maintenance, vendor relationships, airtime, lunch arrangements, and support for branch locations.
- Arrange meetings, travel bookings, and office events, ensuring logistics run smoothly and within budget.
- Support HR reporting, internal audits, and compliance requirements, including operational permits such as OSHA, fire, business, and pest control certificates.
- Provide supervision and guidance to the Office Assistant, and contribute to HR policy development, employee engagement activities, and ad-hoc projects.
Requirements & Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1–3 years of hands-on experience in HR and administrative roles, with a clear understanding of day-to-day HR processes.
- IHRM membership is a plus, showing commitment to professional HR standards.
- Strong written and verbal communication skills, with the ability to interact professionally across all levels.
- Excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Ability to manage multiple priorities in a fast-paced environment while working collaboratively with different teams.
