Role Overview
As a Transport Operations Coordinator, you will be the central link between shipping lines, container depots, drivers, and internal teams, ensuring that every container move is documented, tracked, and executed without unnecessary delays. Your focus will be on keeping the entire container interchange cycle running smoothly—from collection and delivery to return and proof of delivery—while protecting the company from avoidable detention and demurrage charges. Success in this role means maintaining precise documentation, spotting discrepancies early, and making sure cargo movement stays on schedule.
Key Responsibilities
- Prepare and check all transport-related paperwork for container operations, including delivery orders, container interchange receipts, equipment interchange receipts, waybills, transport manifests, gate passes, and proof of delivery documents.
- Oversee container interchange activities so that pick-ups, drop-offs, and returns align with the requirements of shipping lines, depots, ports, customers, and internal procedures.
- Track container and shipment movements in real time, keeping accurate records and proactively coordinating returns to avoid detention and demurrage penalties.
- Inspect containers at collection and return points, documenting any damage or mismatches and escalating them to the right people.
- Plan and coordinate vehicle dispatches, monitoring driver progress to ensure cargo and containers reach their destinations within agreed timeframes.
- Serve as the day-to-day contact for shipping lines, depots, drivers, and other departments to resolve operational issues quickly and keep everyone aligned.
- Receive and reconcile proof of delivery and container interchange documentation, ensuring everything matches before handing over to invoicing and reporting.
- Investigate any discrepancies in shipment, transport, or container interchange documentation, working with stakeholders to correct them and prevent recurrence.
- Build routine transport and shipment reports, flagging bottlenecks and ensuring compliance with company policy, customer requirements, and transport regulations.
- Support the Transport Operations Controller and Fleet & Admin Manager with ad hoc tasks related to fleet and logistics coordination as needed.
Requirements & Qualifications
- Minimum of two years’ hands-on experience in transport, logistics, shipping, or freight forwarding operations.
- Strong working knowledge of container interchange procedures and the associated documentation standards.
- Familiarity with road transport operations, including fleet coordination, dispatch, and delivery scheduling.
- Understanding of basic customs and import/export processes as they relate to container movement.
- Proficiency in Microsoft Office tools, especially Excel (for tracking and reporting), Word (for documentation), and Outlook (for daily communication).
- Experience with transport management systems (TMS) or other logistics software is an added advantage.
- Meticulous attention to detail, strong organizational skills, and the ability to juggle multiple container movements simultaneously.
- Good communication and problem-solving skills to work effectively with drivers, depots, shipping lines, and internal teams.
