About the Role
Our client is one of the leading motorcycle dealers in Kenya and is seeking a competent Service Administrator to support its service operations. The role is central to ensuring smooth running of the service department by coordinating technicians, managing documentation, updating systems, and delivering excellent customer‑service standards.
This position is ideal for an organized, customer‑focused professional with strong administrative and communication skills who is comfortable working in a fast‑paced automotive environment.
Key Responsibilities:
Service Coordination & Scheduling
- Schedule and dispatch technicians for onsite and remote support
- Track service jobs from initiation to completion
- Coordinate service contracts, renewals, and maintenance agreements
Customer Communication & Support
- Communicate job updates, delays, and requirements to customers
- Respond to inquiries via phone and email
- Follow up on pending work and customer feedback
- Escalate issues where necessary
Documentation & Administration
- Prepare invoices, quotations, and job cards
- Maintain service reports, warranty claims, and documentation
- Capture service traffic data and maintain accurate records
Operations Support & Inventory
- Assist with spare parts and tools inventory management
- Support technicians with logistics and documentation
- Ensure parts availability for service operations
Reporting & Performance Tracking
- Prepare weekly and monthly service reports
- Track KPIs such as response times, completion rates, and customer satisfaction
- Ensure compliance with internal processes and standards
Key Requirements:
- Diploma in Automotive or Mechanical Engineering
- Additional qualification in Office Administration is an advantage
- 2–3 years’ experience in service administration or operations support
- Strong computer skills (MS Office, CRM/ERP systems)
- Excellent communication and customer service skills
- Strong organizational skills and attention to detail
- Ability to multitask and work under pressure
Working Conditions:
- Flexibility to work outside Nairobi when required
- Occasional overtime depending on service demands
