Position Context
We are seeking a highly disciplined, mission-aligned School Accountant to provide robust financial and administrative management for our Christian educational and outreach programs. Your primary focus will be to maintain absolute precision across our daily bookkeeping channels, driving transactional integrity from initial ledger entry to final reconciliation and statutory filing. This position bridges rigorous non-profit fund tracking with structured compliance; you will manage every variable from weekly petty cash reconciliations and localized vendor procurement to processing payroll deductions and prepping technical schedules for internal and external audits. The role demands an accurate, values-driven finance professional who views financial stewardship as a fundamental vehicle for community impact.
Operational Functions
Transactional Bookkeeping & Financial Documentation
- Execute precise daily data entry of all institutional financial transactions, expense logs, and program allocations within QuickBooks.
- Construct and maintain a flawless physical and digital archiving ecosystem, ensuring all invoices, purchase receipts, and payment vouchers are systematically cross-referenced, stamped, and authorized.
- Monitor multi-sector program expenditures continuously against approved annual budgets, instantly flagging structural funding variances or cost overruns to leadership.
- Liaise directly with local vendors to resolve billing differences, verify delivery documentation, and acquire competitive quotations for school purchasing.
Cash Management & Reconciliation Loops
- Conduct rigorous weekly petty cash reconciliations, balancing internal physical vault counts against operational expense receipts.
- Assist the lead accountant in executing extensive monthly bank reconciliation statements, clearing outstanding items and mapping minor account timing discrepancies.
- Coordinate the transactional processing of school fees, donor grants, and community development funds, ensuring accurate category allocations.
Payroll Operations & Statutory Filing
- Support the monthly preparation and structural validation of staff payroll runs, ensuring absolute precision across all baseline earnings and customized deductions.
- Manage the timely calculation, submission, and validation of all localized statutory liabilities via the KRA iTax portal, covering PAYE, NSSF, SHIF, and the Affordable Housing Levy (1.5%).
- Maintain a 100% on-time submission rate across all statutory pipelines to safeguard the non-profit organization against preventable state interest penalties.
Audit Readiness & Governance Support
- Generate objective, structured financial tracking reports and account analyses to support routine internal management reviews.
- Retrieve, index, and present historical ledger files, banking documentation, and operational vouchers to support external audit processes.
- Uphold absolute data confidentiality and strict internal controls to shield institutional resources from financial leakages or system gaps.

Minimum Entry Criteria
- Academic Foundation: Bachelor’s degree in Accounting, Finance, Commerce, or a matching corporate finance tracking field from a recognized university.
- Professional Certification: Fully qualified CPA(K) holder with unblemished professional compliance standings.
- Sector Longevity: Minimum of 3 years of progressive, hands-on experience handling general ledger bookkeeping and account reconciliations, ideally within an educational institution, school system, or faith-based NGO.
- Technical Software Suite: High-level mastery of QuickBooks accounting software coupled with strong structural capability across advanced Microsoft Excel models (VLOOKUPs, pivot tables, data sorting).
- Linguistic Skill: Complete professional fluency in written and spoken English and Swahili.
