Role Overview
This is a hands-on sales operations role within a Nairobi-based supplier of industrial pumping systems, power transmission components, and engineered equipment. You will act as the central link between field representatives, management, and corporate clients—making sure every lead is tracked, every report is accurate, and every logistical detail for sales activity runs without friction. Your daily work directly supports the commercial team’s ability to close deals, maintain compliance with service agreements, and keep customer communications professional and timely.
Key Responsibilities
- Research and extract prospect data from business databases to build qualified lead lists, then assign incoming leads to the appropriate sales representatives through the CRM platform.
- Act as the first point of contact for phone calls, email messages, and website enquiries, directing each query to the correct account manager or internal department.
- Audit CRM usage across the sales team, checking that records are complete, data entries are accurate, and service-level agreement response targets are being met.
- Review discount and quotation requests submitted by sales staff, verifying that proposed pricing falls within authorised limits before forwarding for approval.
- Prepare and issue formal client correspondence, including contract documentation and legally sensitive sales paperwork, while maintaining organised records for audit purposes.
- Coordinate meeting schedules, exhibition bookings, trade show participation, and sales clinics for management and technical representatives.
- Arrange complete travel logistics for field teams—flights, ground transport, and hotel accommodation—for domestic and regional sales trips.
- Compile weekly and monthly sales reconciliation reports, update pipeline statuses, and summarise marketing campaign performance for management review.
Requirements & Qualifications
- Diploma or bachelor’s degree in business administration, sales and marketing, or a related commercial discipline.
- At least 2–4 years of experience in sales support, customer service, or administrative coordination; exposure to engineering, manufacturing, or technical equipment firms is strongly preferred.
- Advanced working knowledge of Microsoft Excel, Word, and PowerPoint, with hands-on experience using CRM or ERP systems for record keeping and report generation.
- Demonstrated ability to audit data carefully, spot discrepancies, and maintain error-free customer records.
- Strong multitasking skills, able to reprioritise urgent requests while managing confidential information with discretion.
- Excellent written and verbal communication skills, comfortable liaising with both internal sales teams and external corporate clients.
- Willingness to learn front-office procedures, invoicing workflows, and dispatch operations so you can step in as relief coverage when needed.
