Role Overview
Westlands Medical Centre is looking for a front office professional who can be the first point of contact for every patient who walks through the door. Day to day, you will greet arrivals, confirm and update their details, manage appointment bookings and keep the reception area moving calmly even when the waiting room is full. The role matters because the desk sets the tone for the whole visit — get it right and patients feel looked after, clinicians stay on schedule, and the centre runs smoothly from opening to close.
Key Responsibilities
- Welcome patients and visitors as they arrive, establish what they need and direct them to the correct clinician, department or waiting area.
- Register new patients and update existing records, keeping files and the practice management system accurate and up to date.
- Book, confirm and reschedule appointments in person and by phone, managing the daily schedule so patient waiting times stay reasonable.
- Answer calls and general enquiries, take clear messages and pass clinical questions to the right staff member promptly.
- Liaise with doctors, nurses and support staff to flag delays, urgent cases and walk-in patients.
- Collect payments and issue receipts in line with the centre's procedures, and keep related records tidy and traceable.
- Keep the reception and waiting area orderly, stocked with forms and patient information, and comfortable throughout the day.
- Safeguard patient confidentiality in every written, verbal and electronic interaction.
Requirements & Qualifications
- Demonstrated experience in a front office, reception or patient-facing role within a busy hospital or clinic environment.
- Confident computer skills, including familiarity with patient or practice management systems and the ability to learn new software quickly.
- A calm, friendly and steady manner — able to remain warm and composed when the desk is under pressure.
- Clear spoken and written communication, with a professional telephone manner.
- Careful attention to detail when recording patient information and handling paperwork.
- Reliable timekeeping and a cooperative approach to working alongside a multidisciplinary clinical team.
- A certificate or diploma in front office operations, business administration, customer service or a related field is an advantage.
