Role Overview
As the first point of contact for a busy real estate office, you will keep the front desk running smoothly while ensuring every visitor and caller receives a warm, professional experience. Your day-to-day presence directly supports the agents and administrative team by handling the flow of communication, organising the office environment, and serving as a reliable source of information for clients exploring properties and services.
Key Responsibilities
- Greet visitors warmly as they enter the office, ascertain their needs, and direct them to the appropriate agent or waiting area without delay.
- Operate the main telephone system, screen incoming calls, route them to the correct person, and take accurate, detailed messages when the intended recipient is unavailable.
- Manage all incoming and outgoing mail, including courier packages, and ensure internal correspondence reaches the right team members in a timely manner.
- Maintain the reception area to a high standard of cleanliness and presentation, and monitor office supplies, placing orders when stock runs low.
- Provide general administrative assistance, including filing property documents, entering client or listing information into internal systems, and preparing routine paperwork.
- Handle inquiries from clients regarding available listings and company services, offering accurate responses when possible and escalating complex questions to a licensed agent.
Requirements & Qualifications
- Diploma or certificate in business administration, office management, or a closely related field.
- One to two years of practical experience in a receptionist, front-office, or other customer-facing administrative role.
- Experience working in a real estate agency or property-based environment is a distinct advantage and will be weighed favourably.
- Clear, professional communication skills, both spoken and written, with the ability to interact confidently with clients, agents, and external vendors.
- Strong multitasking abilities, a keen eye for detail, and the capacity to remain composed during peak office hours.
- Basic proficiency with standard office software, telephone systems, and common office equipment such as printers and scanners.
