Female Private Secretary / Coordinator to support

 

We are looking for a proactive and well-organized Female Private Secretary / Coordinator to support owner in managing daily business activities, communication, and coordination across operations. This role is heavily focused on coordination, follow-ups, and organization rather than traditional administrative work and role requires a high degree of professionalism, department coordination, communication skills, confidentiality, and efficiency in handling daily business operation challenges.

 

Key Responsibilities:

 

Act as the main point of communication between the owner and different departments

Track ongoing daily operations, projects and provide regular updates

Organize tasks, priorities, and deadlines for smooth workflow

Handle confidential documents, correspondence, and communications

Coordinate meetings, take minutes, and follow up on action items

Handle basic administrative and documentation tasks

Serve as the point of contact between the Owner and staff, clients, or external contacts

Prepare reports, presentations, and documentation for meetings

Screen and prioritize emails, phone calls, and requests

Ensure smooth day-to-day operations and support the Owner in all administrative needs

Requirements:

 

Proven experience as a private secretary or similar role

Experience in coordination, administration, or personal assistant roles

Excellent organizational and multitasking abilities

Strong follow-up and multitasking skills

High level of discretion, integrity, and confidentiality

Highly organized with attention to detail

Outstanding written and verbal communication skills

Flexible, dependable, and able to handle urgent matters outside of regular hours when needed

Ability to work under pressure and meet deadlines
