Role Overview
This position keeps the Institute's administrative machinery running, from the physical condition of its buildings and vehicles to the equipment staff rely on every day. The holder moves between several functions at once: surveying repair needs, coordinating transport, procuring furniture and equipment, and making sure insurance, assets, and leased space are all properly accounted for. The role matters because uninterrupted facilities, compliant processes, and well-supported staff are what allow the Institute's core work to continue without friction.
Key Responsibilities
- Carry out physical inspections of Institute premises to identify repair needs, then see the resulting maintenance work through to completion.
- Plan and supervise transport logistics, including vehicle scheduling and the movement of goods and personnel.
- Ensure staff have the tools, equipment, and physical working conditions they need to carry out their roles effectively.
- Identify, source, and acquire office furniture, fittings, and equipment, managing the process from establishing the need through to delivery.
- Monitor insurance policy expiry dates and coordinate timely renewal of the Institute's cover.
- Maintain and update an accurate register of all Institute assets and properties, recording acquisitions, transfers, and disposals as they occur.
- Handle day-to-day administrative operations, including allocation of office space, security arrangements, and oversight of outsourced administrative service providers.
- Supervise the implementation of infrastructure projects and ensure all administrative activities comply with statutory and regulatory requirements.
Requirements & Qualifications
- Bachelor's degree from a recognised institution in Public Administration, Business Administration, Political Science or Government, Anthropology, Social Sciences, or an equivalent field.
- A cumulative nine (9) years of relevant work experience, of which at least three (3) years must have been served at the grade of Senior Administration Officer or in a comparable position.
- Completion of a professional management course lasting not less than four (4) weeks from a recognised institution.
- Current membership in good standing with a relevant professional body.
- Proven capacity to coordinate maintenance, transport, procurement, and facility management duties concurrently.
