Role Overview
This role keeps port operations moving smoothly by managing the administrative backbone of cargo activity. You will track shipments from arrival to final delivery, make sure every document is accurate and available, and coordinate the people and transport needed to clear goods without unnecessary hold-ups. Your daily attention to detail directly reduces costly delays, protects compliance, and keeps clients and external partners informed and confident.
Key Responsibilities
- Follow up on port cargo clearance and movement from end to end, covering arrival, discharge, loading, release, and final handover.
- Prepare, check, and maintain essential cargo paperwork, including delivery orders, gate passes, manifests, and related tracking records.
- Act as the day-to-day contact between shipping lines, clearing agents, transporters, port authorities, clients, and internal teams to keep everyone aligned on cargo status.
- Monitor cargo readiness and promptly communicate any delays, missing paperwork, or discrepancies that could affect schedules.
- Coordinate trucks, drivers, and collection or delivery slots to match cargo availability and operational priorities.
- Verify cargo details against supporting documentation to prevent errors, then follow up on discrepancies or unresolved issues in the supply chain.
- Enter and update accurate operational data in registers and management systems, ensuring records are easy to retrieve and ready for reconciliation.
- Produce daily operational summaries, escalate exceptions to management, and support complete reconciliations of cargo and vehicle movements.
Requirements & Qualifications
- Diploma or certificate in Clearing and Forwarding, logistics, or a closely related field.
- At least 1 to 2 years of hands-on experience in port operations, clearing and forwarding, or a logistics environment.
- A working understanding of port documentation, cargo movement procedures, and standard record-keeping practices.
- Solid computer skills in Microsoft Excel and Word for tracking data, preparing reports, and maintaining records.
- Familiarity with cargo or port management systems is an advantage.
- Strong attention to detail, practical problem-solving ability, and the resilience to work under the physical and scheduling demands of a port setting.
