Role Overview
We are seeking a highly sophisticated, regulatory-grounded Pensions Manager to command the end-to-end servicing, administration, and compliance of our portfolio of retirement benefits schemes. Your primary objective is to guarantee absolute operational precision across member enrollments, contribution tracking, and complex payout calculations while protecting the fund from processing errors. This position bridges senior stakeholder management with strict legal governance; you will coordinate daily with corporate fund managers, scheme custodians, and institutional trustees while ensuring bulletproof adherence to the Retirement Benefits Authority (RBA) guidelines. The role demands an analytically sharp leader with extensive experience inside the Kenyan retirement benefits landscape who can drive administrative system automations and maintain exceptional member service metrics.
Areas of Accountability
Scheme Administration & Asset Preservation
- Govern the day-to-day operational execution of pension scheme servicing, verifying the technical accuracy of member onboarding, data management, and benefit distributions.
- Audit monthly contribution logs, ensuring cash remittals hit appointed custodian accounts inside mandatory statutory windows and managing recoveries on late deposits.
- Model and verify complex payout structures covering corporate transfers, early withdrawals, deferred setups, and final retirement settlements under active fund rules.
- Manage the systematic creation and distribution of annual individual member benefit statements in total compliance with state disclosure rules.
- Mediate and resolve intricate sponsor disputes, trustee inquiries, and delicate member complaints, ensuring tracking benchmarks remain high.
Regulatory Compliance & Risk Controls
- Enforce total institutional alignment with the Retirement Benefits Act, RRA guidelines, active scheme trust deeds, and evolving tax statutes.
- Package and submit all mandatory quarterly and annual statutory returns, regulatory registry renewals, and scheme levy payments to the RBA.
- Anchor the institutional documentation track for new scheme registrations, structural rule adjustments, and standard KRA tax-exemption applications.
- Conduct continuous internal operational risk audits within the processing unit, fixing control loopholes to avoid regulatory fines or data exposure.
Governance Support & Vendor Alliances
- Nurture corporate relationships with corporate scheme sponsors, employee representatives, and intermediary consultation networks.
- Provide comprehensive technical support to scheme trustees, organizing governance sittings, compiling accurate portfolio brief folders, and presenting operational status reports.
- Serve as the principal link alongside third-party asset managers, external auditors, actuaries, and licensed asset custodians to streamline fund accounting loops.
Team Leadership & Process Optimization
- Lead, evaluate, and coach a dedicated team of pensions processing specialists, setting clear daily performance indicators and processing quotas.
- Diagnose administrative processing friction points, driving structural updates and automated enhancements across the primary pensions core system software.
- Compile clear monthly management reports, charting pipeline processing capacity, compliance ratings, and operational service metrics for executive review.
Skills & Experience Required
Minimum Entry Criteria
- Academic Foundation: Bachelor’s degree in Actuarial Science, Insurance, Finance, Commerce, Business Administration, or a matching technical discipline from an accredited university.
- Professional Credentials: Possession of an RBA-recognized professional qualification, such as the Trustee Development Programme Kenya (TDPK) or a Diploma in Insurance (AIIK / FSRI / CII), is a highly valued operational asset.
- Industry Longevity: Minimum of 5 to 7 years of progressive, verified experience specializing in pensions or retirement benefits administration, with a minimum of 2 years operating in an explicit supervisory or managerial position within the Kenyan ecosystem.
- System Aptitude: High proficiency using specialized modern pension administration database systems alongside advanced Microsoft Excel frameworks.

- Statutory Articulation: Elite technical grasp of the Retirement Benefits Act, local financial legislation, KRA tax implications, and modern corporate governance practices.
- Analytical Resolution: Exceptional numerical diagnostic capacity to assess actuarial variables, financial balancing anomalies, and high-volume data strings flawlessly.
