Role Overview
This position keeps payroll running cleanly across a set of assigned countries, handling the input data, checks, and reconciliations that sit behind every accurate pay cycle. Working alongside Payroll Consultants, you act as the first line of defence on data quality — verifying what HR and Finance send through, spotting anything that looks off, and making sure statutory rules are respected before money moves. The role matters because payroll errors erode trust fast, and your diligence is what keeps the process audit-ready, compliant, and dependable for employees in every location you cover.
Key Responsibilities
- Gather, check, and validate payroll inputs each cycle — new starters, leavers, salary adjustments, allowances, deductions, and benefits — working directly with HR and Finance contacts.
- Build and verify payroll input templates, then hand them to the Payroll Consultant for review and sign-off.
- Reconcile payroll data and confirm that transactions comply with internal controls and the statutory rules of each assigned country.
- Maintain complete, current payroll records, storing documentation in line with Information Governance and Records Management (IGRM) policy and supporting retention and archiving obligations under PDPA and GDPR.
- Work through payroll control checklists to keep the function audit-ready, and assist the Payroll Consultant in assembling reports for compliance reviews, audits, and reconciliations.
- Resolve employee payroll cases and queries through the case management system (e.g., C4C), delivering prompt, courteous, and accurate answers within agreed SLAs.
- Investigate tax, pension, and social security discrepancies and escalate anomalies for resolution; escalate complex or sensitive cases to the Payroll Consultant or Manager.
- Contribute to Standard Operating Procedure documentation and process checklists, join post-payroll and lessons-learned reviews, and support the rollout of automation or process simplifications introduced by the Payroll & People Data Manager.
Requirements & Qualifications
- Written and verbal fluency in English.
- Prior experience in payroll administration or data processing, ideally within a shared-services or multi-country environment.
- Working knowledge of payroll processes, data validation techniques, and statutory deductions.
- Hands-on familiarity with HRIS and payroll platforms such as SAP SuccessFactors, Oracle, or comparable systems.
- Demonstrated ability to handle confidential data responsibly and maintain consistently high accuracy under pressure.
- Strong communication and teamwork skills, with a track record of meeting tight deadlines.
- Desirable: experience coordinating with external vendors or managed service providers.
- Desirable: exposure to continuous-improvement work or process documentation.
- Desirable: understanding of statutory payroll compliance in one or more Asia-Pacific countries.
