Role Overview
This role is the organizational backbone of the office, ensuring day-to-day operations run without friction. You will be the first point of contact for visitors and staff, manage supplies and documentation, and support everything from meeting scheduling to travel logistics. Your work directly enables the rest of the team to focus on their core duties, making you a vital contributor to the company’s efficiency and professionalism.
Key Responsibilities
- Oversee the front desk and reception area, welcoming guests and handling incoming calls with a professional demeanor.
- Maintain physical and digital filing systems for records, contracts, and correspondence, ensuring easy retrieval and compliance with confidentiality policies.
- Order and track office supplies, manage vendor relationships, and handle procurement requests to keep the workplace stocked and functional.
- Prepare and format documents, reports, letters, and presentations using word processing and spreadsheet software.
- Coordinate internal and external meetings, book meeting rooms, and manage calendars to avoid scheduling conflicts.
- Arrange travel and transportation for staff, including flight and hotel bookings, visa support, and ground transport logistics.
- Track office assets and inventory, perform periodic audits, and update records for equipment and supplies.
- Provide administrative support to HR processes such as maintaining personnel files, assisting with payroll data collection, and onboarding paperwork.
Requirements & Qualifications
- Diploma in Business Administration or a related field; a bachelor’s degree is considered an advantage.
- At least two years of full-time experience in an office administration or administrative support role.
- Proven ability to manage multiple tasks simultaneously, prioritize workloads, and meet deadlines in a fast-paced environment.
- Strong computer literacy, with advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills, with attention to detail and accuracy in document preparation.
- Demonstrated experience with records management, inventory tracking, and basic procurement processes.
- High level of professional integrity when handling confidential information.
- Problem-solving mindset, organizational aptitude, and a collaborative team approach.
