Role Overview
This role sits at the front line of the MICE sales desk, where enquiries from corporates, agencies, DMCs and PCOs either become confirmed, contracted business or quietly slip away. Day to day you will qualify incoming enquiries, shape them into proposals and quotations, drive follow-up, and move agreements through to signature, deposit and handover — all while keeping the pipeline and client records genuinely reliable.
You work alongside the Senior Sales Manager – MICE and the MICE Sales Manager as their administrative and commercial backstop, which means the speed, accuracy and persistence of this desk directly influence conversion rates, contract turnaround and the volume of repeat MICE revenue the property earns.
Key Responsibilities
- Take ownership of MICE enquiries arriving by telephone, email and other channels, qualifying each one by capturing group size, dates, meeting and event requirements, budget expectations, decision timelines and any special needs before progressing it.
- Prepare and issue proposals, quotations and sales correspondence that reflect approved hotel rates, packages and commercial terms, checking every figure, inclusion and date before it reaches the client.
- Run a disciplined follow-up cycle on open enquiries and proposals, chasing decisions, surfacing client hesitations and escalating stalled opportunities so nothing is left to go cold.
- Draft MICE contracts and supporting documentation, then track outstanding signatures, deposits and confirmations until each booking is fully secured within agreed timeframes.
- Keep the MICE tracker, CRM and sales systems current so pending enquiries, tentative holds and live opportunities are accurate enough to support forecasting and reporting.
- Act as a day-to-day contact for assigned and prospective key accounts — corporate clients, agencies, DMCs and PCOs — handling routine phone and email communication and identifying openings for repeat or incremental business.
- Assist with MICE sales reports, forecasts and pipeline updates, and highlight conversion risks or bottlenecks to the MICE sales leadership.
- Support sales calls, client meetings and account reviews, and coordinate the handover of confirmed business to Reservations, Revenue, Finance and Operations so that what was sold is what gets delivered.
Requirements & Qualifications
- Diploma or bachelor's degree in Hospitality Management, Tourism, Sales or Marketing, Business Administration, or a related field.
- Previous experience in hotel sales, MICE, groups, reservations or a comparable commercial function.
- Strong telephone manner and clear written communication, with the confidence to deal directly with corporate buyers, agencies and intermediaries.
- Excellent attention to detail when preparing proposals and contracts, where rate, date and inclusion errors carry real commercial consequences.
- Persistent follow-up habits and the relationship skills to keep clients engaged across long lead times.
- Commercial awareness of the MICE market, including how agencies and corporate buyers assess venues, negotiate terms and plan around seasonality.
- Ability to manage several enquiries and deadlines in parallel without losing track of any of them.
- Proficiency in Microsoft Office and hotel sales or CRM systems.
- Professional, service-oriented communication style suited to a fast-paced luxury hospitality environment.
