Role Overview
This role leads the planning, coordination, and execution of all booked conferences, workshops, and guest events at the institute. Day-to-day, you will oversee logistics from initial booking through venue setup, catering, and vendor coordination, while directly supervising the reservations and guest relations teams. Your work ensures every event runs smoothly, meets high hospitality standards, and strengthens the institute’s reputation as a premier conference venue in the region.
Key Responsibilities
- Develop and execute an annual business plan for conference and event management, aligning with the institute’s broader customer experience strategy.
- Establish partnerships with vendors, suppliers, and corporate clients to expand event offerings and improve competitive positioning.
- Oversee all event logistics, including bookings, venue configuration, catering arrangements, and coordination with security, IT, housekeeping, and hospitality service providers.
- Supervise the reservations and guest relations units to ensure seamless communication and a consistent, high-quality client experience from inquiry to post-event follow-up.
- Monitor compliance with health, safety, and customer service standards, and ensure conference spaces meet cleanliness and hospitality benchmarks.
- Prepare and track budgets, usage reports, and revenue data for each event, identifying cost-control measures and performance improvement areas.
- Train, mentor, and coach direct reports in event coordination and customer service, setting clear performance targets and building team capacity.
- Implement and update policies and procedures that streamline event management and guest relations operations, keeping pace with industry trends.
Requirements & Qualifications
- Bachelor’s degree or equivalent in a business-related field, hospitality management, or a closely aligned discipline.
- Minimum eight years of relevant professional experience in event management, conference services, or hospitality operations, with increasing levels of responsibility.
- Proven ability to develop strategic plans, manage budgets, and negotiate vendor and client contracts.
- Strong leadership and team supervision skills, including experience coordinating cross-functional teams (e.g., security, IT, housekeeping).
- Demonstrated track record of delivering excellent customer service and ensuring client satisfaction in an events or hospitality setting.
- Familiarity with health, safety, and quality standards applicable to conference and event spaces.
- Excellent communication, problem-solving, and report-writing abilities.
