Role Overview
This position places you at the centre of people operations for a busy logistics and shipping company based in Kirigiti, Kiambu. You will own the daily rhythm of HR work — from advertising vacancies and running interviews to keeping personnel files accurate, preparing payroll data, and guiding supervisors through disciplinary conversations. Your efforts directly support a compliant, stable workplace where drivers, warehouse teams, and office staff can perform reliably in a demanding operational environment.
Key Responsibilities
- Plan and execute the full hiring cycle: drafting job adverts, screening applications, coordinating interview panels, verifying referees, and sending formal offers to successful candidates.
- Prepare clear employment contracts, appointment letters, and confidentiality agreements that reflect current company policy and Kenyan labour regulations.
- Run structured orientation sessions for new employees so they understand safety protocols, shift expectations, and company values from day one.
- Maintain both physical and digital personnel records, with strict attention to data protection, access control, and document versioning.
- Monitor daily attendance, shift rosters, leave balances, overtime, and sick leave; compile and verify these inputs for monthly payroll processing.
- Serve as the first point of contact for staff queries on policies, statutory deductions, benefits, and workplace conduct, and escalate complex issues with clear recommendations.
- Facilitate grievance resolution, disciplinary meetings, probation reviews, and performance improvement plans while ensuring fairness, consistency, and documented outcomes.
- Advise management on compliance with Kenyan labour laws and occupational safety requirements, keeping records audit-ready for any internal or external inspection.
Requirements & Qualifications
- Diploma or Bachelor’s degree in Human Resource Management, Business Administration, or a closely related field.
- At least 3 years of hands-on HR experience, specifically covering recruitment, employee relations, leave administration, and payroll preparation.
- Solid understanding of Kenyan labour legislation, statutory deductions (including NSSF, NHIF, and PAYE), and workplace safety standards.
- Familiarity with HRIS platforms, biometric or digital attendance systems, and spreadsheet-based payroll reporting; advanced Excel skills are a strong plus.
- Membership with the Institute of Human Resource Management (IHRM) or possession of a valid practicing certificate will be an added advantage.
- Demonstrated ability to handle sensitive personal information with discretion, impartiality, and professionalism.
- Strong written and verbal communication skills, with a practical, solution-oriented approach to conflict management.
