Role Overview
As the HR Assistant at our training and international placement institution in Nairobi, you will be the operational backbone of the people function, handling the day-to-day administration that keeps every stage of the employee lifecycle running smoothly. Reporting directly to the HR Manager, you will maintain personnel records, prepare contracts and official correspondence, track leave balances, and support appraisal and disciplinary processes. Your accuracy and discretion matter enormously here: the documentation you produce and the records you safeguard directly affect staff trust, statutory compliance, and the institution's ability to place and manage people fairly.
Key Responsibilities
- Post vacancies, screen incoming applications, arrange interview panels, and complete reference and background checks for shortlisted candidates.
- Prepare onboarding schedules, coordinate workstation and equipment readiness, and walk new hires through orientation and induction.
- Maintain both physical personnel files and digital HR databases, ensuring contracts, records, and staff data stay current and audit-ready.
- Draft employment contracts, warning letters, internal circulars, service certificates, and routine HR reports for review and signature.
- Receive and process leave applications, update leave balances, and keep the leave tracking system accurate.
- Coordinate the staff appraisal cycle by scheduling review meetings, following up with line managers, and filing performance documentation.
- Help organise staff welfare activities, team engagement events, and wellness initiatives.
- Support disciplinary panels and complaint procedures, taking notes and maintaining records, and ensure departmental practices align with company policy and Kenyan labour law.
Requirements & Qualifications
- Education: Bachelor's degree in Human Resource Management or a closely related discipline.
- Experience: At least 2 years in an HR administrative or office support role, ideally covering recruitment, records, or payroll-adjacent administration.
- Software: Confident user of Microsoft Word and Excel as well as Google Workspace tools for documentation, registers, and scheduling.
- Regulatory knowledge: Working understanding of Kenyan labour legislation, statutory deductions, and standard employment practices.
- Confidentiality: Proven ability to handle sensitive personnel information with discretion and professional ethics.
- Attention to detail: High accuracy when drafting documents, updating registers, and organising file archives.
- Communication: Clear written and verbal skills, with the interpersonal agility to work alongside managers and staff at all levels.
