Role Overview
This role owns the day-to-day running of a newly consolidated Global Admin HUB in Nairobi — a centralised unit that takes on administrative and financial processing work previously spread across individual country offices. You will stand the team up, then keep it delivering: staffing it, training it, supervising its output and holding it to the service levels country offices depend on. The position matters because the organisation is deliberately shifting process ownership away from fragmented, country-by-country arrangements toward one accountable hub, and someone has to make that shift work in practice.
Key Responsibilities
- Recruit, onboard and train HUB team members alongside Head Office counterparts, and keep developing them as the team expands into new workstreams.
- Run the HUB's daily operations — allocating work, supervising and supporting team members, and stepping in with guidance when problems surface.
- Hold the team to agreed Service Level Agreements by tracking turnaround, quality and delivery, and correcting course when standards slip.
- Support the phased handover of operational processes and systems from country offices into the HUB so that transitions land without disrupting ongoing programmes.
- Act as the central link between the HUB, Country Offices and Head Office, keeping communication, coordination and workflow alignment intact across all three.
- Drive the resolution of operational escalations together with HUB staff and the country stakeholders affected, rather than letting issues sit.
- Maintain compliance and quality assurance across HUB-managed processes, in line with internal procedures, controls and audit requirements.
- Continuously improve how the HUB operates in step with the organisation's digital transformation, and document lessons learned and good practice for exchange with Head Office.
- Serve on the ZAMI Core Team as an operational stakeholder — surfacing risks and challenges early and feeding the HUB's experience back into implementation decisions.
Requirements & Qualifications
- A university or technical college degree in a relevant field.
- 2–5 years of relevant professional experience, ideally gained in countries of the Global South.
- Demonstrated experience coordinating and organising operational processes; a background in financial processing for projects is an advantage.
- Strong leadership and people management ability, with a track record of guiding and developing a diverse team.
- Well-developed organisational and coordination skills, and the capacity to balance multiple stakeholders and competing operational priorities at once.
- A collaborative, solution-oriented working style, combined with the initiative to act and the judgement to make sound decisions.
- Strong intercultural communication and negotiation skills, and the ability to work effectively across countries and organisational units.
- Recognition of the growing value of data in this field, and a genuine willingness to build the awareness and skills needed to apply data-informed approaches to the work.
- Excellent English language skills; knowledge of an additional international language, particularly French or Arabic, is an advantage.
