Job Description

Role Overview

Based in Nairobi and reporting to the Senior HR Manager / People Lead, the HR Officer is responsible for turning the company’s people strategy into reliable, day-to-day HR operations. This role manages the complete employee journey—recruitment, onboarding, records, payroll inputs, performance reviews, benefits, and offboarding—while also acting as the first point of contact for employee questions and workplace concerns. In a growing EdTech software business, this position provides the operational accuracy and employee support that allow the company to scale its team without compromising on compliance or culture.

Key Responsibilities

  • Coordinate the full recruitment cycle, including job postings, sourcing, CV screening, interview scheduling, assessments, offer letters, and reference checks, while keeping a healthy pipeline for high-demand roles.
  • Own employee lifecycle documentation from start to finish—employment contracts, probation and confirmation letters, performance records, and exit paperwork—ensuring every file is complete, current, and handled confidentially.
  • Maintain precise staff records in the HRIS and prepare monthly payroll, leave, attendance, and benefits inputs for the finance team.
  • Deliver structured onboarding and orientation for new hires, and coordinate internal training initiatives, learning needs assessments, and certification tracking.
  • Administer periodic performance review cycles, monitor objective completion, support managers with Performance Improvement Plans, and contribute to talent reviews and internal mobility discussions.
  • Handle day-to-day employee relations by responding to policy queries, participating in grievance and disciplinary processes, preparing investigation documentation, and ensuring alignment with Kenyan labour law.
  • Plan employee engagement activities, wellness campaigns, recognition programs, and internal communications that keep the team connected and motivated.
  • Build HR dashboards and monthly operational metrics, and provide practical recommendations for improving HR processes to leadership.

Requirements & Qualifications

  • Bachelor’s degree in Human Resource Management, Business Administration, Psychology, Organizational Development, or a closely related discipline.
  • CHRP qualification or active progress toward it, together with IHRM membership, is highly desirable.
  • 1–2 years of hands-on HR experience across multiple areas, including recruitment, HR operations, performance management, and employee relations.
  • Strong working knowledge of Microsoft Office and Google Workspace, plus practical experience with HRIS or applicant tracking systems.
  • A solid understanding of Kenyan employment law, HR policies, and standard compliance practices.
  • A careful, precise approach to handling confidential documents, payroll data, and employee records.
  • Balanced judgment and empathy when dealing with sensitive employee matters, while remaining aligned with company policy.
  • Clear verbal and written communication skills to engage effectively with employees and management at all levels.
