We are seeking a neutral, objective, and highly organized HR Coordinator to serve as the backbone of our administrative and human capital operations. Your primary goal is to ensure seamless HR service delivery while maintaining strict adherence to Kenyan labor laws and organizational policies. You will act as a pivotal link between management and staff, facilitating everything from talent acquisition and onboarding to benefits administration and conflict resolution. This role requires a professional who can manage sensitive data with absolute confidentiality and foster a positive, productive work culture across our multi-disciplinary teams.
Human Capital Management & Compliance
Maintain and update HR manuals and internal policies to ensure they align with evolving best practices and statutory regulations.
Manage the full lifecycle of HR documentation, including employment contracts, confirmation letters, and exit procedures.
Track contract timelines and probation periods, providing timely notifications to supervisors regarding expiries or performance reviews.
Ensure 100% compliance with statutory bodies (NSSF, SHIF, PAYE) and flag any areas of potential risk.
Recruitment, Onboarding & Development
Coordinate the end-to-end recruitment process, from drafting job advertisements to conducting reference checks and employment verifications.
Lead induction programs for new hires to ensure a smooth transition into the organization’s culture and workflows.
Collate departmental training needs and maintain a comprehensive database to track staff capacity-building initiatives.
Support managers in the performance appraisal process to drive organizational efficiency and individual growth.
Benefits, Payroll & Employee Relations
Oversee staff enrollment in medical, insurance, and pension schemes, ensuring timely updates for new and exiting employees.
Manage the leave management system, producing quarterly utilization and reconciliation reports.
Liaise with the Finance department to provide accurate updates for monthly payroll processing, including salary adjustments and unpaid leave.
Serve as a neutral point of contact for workplace concerns, facilitating disciplinary processes and conflict resolution with professional objectivity.
The Essentials
Education: Bachelor’s Degree in HR Management, Business Administration, or a related field.
Certification: Higher Diploma in HR Management or IHRM membership is highly desirable.
Experience: 3–5 years of progressive HR experience, with a strong preference for candidates from the NGO sector.
Legislation: Deep knowledge of Kenyan Labour Laws and current statutory requirements.

Coordination: Exceptional organizational skills to manage the HR calendar and multiple administrative deadlines.
