Job Description

Role Overview

This position is responsible for keeping fleet operations financially and operationally efficient by overseeing fuel usage and digital tracking tools. On a daily basis, you will review fuel consumption records against vehicle tracking data, follow up on suspicious discrepancies, and help operational teams correct wasteful or risky driving habits. Your reporting and analysis will directly inform decisions on vehicle replacement, route planning, and cost-control targets across the transport function.

Key Responsibilities

  • Track and compare fuel usage per vehicle and driver against approved consumption limits, flagging any vehicle that exceeds expected levels.
  • Cross-check fuel purchase and dispensing records with telematics location and engine data to uncover losses, recording errors, or unauthorised activity.
  • Keep fuel registers up to date and compile recurring consumption summaries for operations management on a shift, weekly, and monthly basis.
  • Assist in rolling out fuel-saving campaigns and measure whether changes in routing, driving style, or vehicle maintenance lead to measurable improvements.
  • Configure and monitor GPS and telematics hardware to ensure positioning, ignition, and sensor data are accurate; escalate any device outages or data gaps quickly.
  • Review alerts for speeding, harsh braking, idling, off-route movement, and unauthorised after-hours vehicle use, documenting each exception and following up with drivers or supervisors.
  • Evaluate fleet performance data to spot vehicles with high operating costs or low productivity and recommend maintenance, redeployment, or replacement actions.
  • Build visual dashboards and management summaries showing fuel economy, fleet availability, telematics uptime, and individual driver performance trends.
  • Apply internal fuel control policies and telematics procedures consistently, ensuring the fleet remains audit-ready at all times.
  • Act as the liaison among drivers, depot supervisors, and technology vendors when operational issues, system faults, or telematics data disputes need resolution.
  • Participate in internal reviews of fuel variance incidents, telematics alerts, collisions, and rule violations, providing documented evidence for follow-up action.

Requirements & Qualifications

  • At least two years of direct experience in fleet operations, transport administration, fuel management, or telematics coordination.
  • Practical experience reconciling fuel data, running GPS tracking software, and producing fleet performance reports for decision-makers.
  • Working knowledge of transport management systems, fleet management platforms, or commercial telematics solutions is an advantage.
  • Familiarity with fleet fuel monitoring methods, including benchmarking consumption and detecting anomalies in driver or vehicle usage.
  • Strong ability to analyse numeric data in spreadsheets and translate findings into clear, actionable written reports and presentations.
  • Excellent problem-solving skills, with the ability to investigate data mismatches and interact constructively with drivers and external service providers.
  • Proficiency in Microsoft Excel, Word, and Outlook, including experience with pivot tables, lookups, and chart creation for performance tracking.
  • Understanding of transport compliance, maintenance scheduling, and route planning enough to support cross-departmental fleet improvement.
  • A diploma or bachelor's degree in logistics, supply chain management, transport management, mechanical engineering, business administration, or a similar discipline.
  • A recognised professional qualification in fleet, transport, logistics, or supply chain management will be considered an extra asset.
