Role Overview
This receptionist role is the day-to-day face and coordination hub of an events and professional services office in Nairobi. You will manage the reception desk, keep meeting spaces and front-office supplies ready, and handle the administrative details that let client meetings, site visits, and event cycles run without friction. Reporting to the Finance Director, the position combines guest relations, switchboard duties, boardroom logistics, and light event support.
Key Responsibilities
- Greet clients, guests, suppliers, and couriers, manage the visitor register, issue access passes, and guide arrivals to the correct meeting room or team member.
- Answer incoming calls, screen and redirect inquiries, record clear messages, and handle routine correspondence and front-desk email traffic.
- Coordinate boardroom and meeting-room bookings, prepare audiovisual equipment, and arrange refreshments for client and internal meetings.
- Process incoming and outgoing courier dispatches, deliveries, packages, and general mail, keeping tracking details organised.
- Monitor and replenish reception stationery, consumables, and administrative supplies, flagging reorder needs before stock runs out.
- Maintain digital contact registers, vendor lists, and filing systems, and assist colleagues with printing, basic reporting, onboarding setup, and internal notices.
- Provide administrative backup during peak event periods, corporate functions, and site visits, working with operations and production teams to manage vendor and client access.
- Keep the front office safe and presentable, follow security procedures, and report maintenance or facilities issues promptly.
Requirements & Qualifications
- Diploma or bachelor’s degree in front office management, business administration, hospitality management, or a closely related discipline.
- 2–4 years of hands-on experience in reception, front office, customer service, or administrative support; prior exposure to events or hospitality is an added advantage.
- Comfortable using Microsoft Office tools, including Word, Excel, Outlook, and Teams.
- Excellent spoken and written English, with polished telephone manner and professional presentation.
- Warm, service-first approach to dealing with visitors, callers, and internal stakeholders.
- Strong organisational skills and the ability to juggle arrivals, bookings, messages, and office tasks when the pace picks up.
- Sound judgment and discretion when handling confidential or sensitive business information.
What We Offer / Why Join
This is a full-time, on-site role based in Nairobi, Kenya, with a monthly salary of KSH 30,000–KSH 40,000. It is a middle-level position in the events and professional services sector, reporting to the Finance Director and offering daily contact with clients, vendors, and internal teams.
