Role Overview
This position keeps the financial backbone of the organization running smoothly on a day-to-day basis. You will handle transaction processing, bookkeeping, cash flow monitoring, and reporting while making sure internal controls and donor requirements are met. Your accuracy and discipline directly protect the organization’s assets and support clear decision-making across the team.
Key Responsibilities
- Maintain project financial records in the accounting system, including cashbooks, general ledgers, and journals, with timely and accurate postings.
- Process and verify payments, vouchers, liquidations, procurement requests, and supporting documentation before any disbursement is approved.
- Prepare budget forecasts, track actual spending against budgets, and flag variances that need management attention.
- Monitor cash flow projections and actual cash positions to ensure sufficient liquidity for operations and project activities.
- Review monthly bank reconciliations for all accounts and prepare trial balances, income and expenditure statements, and balance sheets.
- Compile financial reports that meet donor specifications and trustee requirements, ensuring they are accurate, consolidated, and submitted on time.
- Review payroll and statutory deductions to confirm that filings such as tax and other legal obligations are completed within deadlines.
- Support internal and external audits by maintaining proper filing systems, safeguarding financial documents, and implementing agreed audit recommendations.
- Oversee inventory controls, fixed asset registers, stock movement procedures, and periodic counts, while authorizing requisitions and procurement payments.
- Ensure compliance with the financial policy manual, accounting standards, statutory filings, and insurance coverage for premises, furniture, and equipment.
Requirements & Qualifications
- Bachelor’s degree in Finance, Accounting, or a related discipline, or a Diploma in Accountancy paired with relevant work experience.
- CPA Part II / Section 3 or above; progress toward full CPA qualification is an added advantage.
- At least 2–3 years of hands-on accounting or finance experience, ideally within an NGO, donor-funded organization, TVET institution, or multi-unit setup.
- Practical familiarity with accounting or ERP systems, especially Odoo, along with strong Excel skills.
- Working knowledge of online banking, financial reporting, and statutory compliance processes.
- Detail-oriented mindset with strong organizational, interpersonal, communication, and negotiation skills.
- Willingness to work from a rural office location in Western Kenya, about 15 km from the nearest town, with occasional extended hours when required by operational needs.
