Job Description

Role Overview

This position sits within a well-established Kenyan law firm and is responsible for keeping every court-related process moving smoothly and in full compliance. Day to day, you will handle filings, extract and verify information from court registries and government offices, and ensure lawyers always have accurate, up-to-date case information at their fingertips. Your reliability and attention to detail directly support the firm’s ability to meet deadlines and represent clients effectively.

Key Responsibilities

  • Carry out thorough due diligence at court registries and various government departments to confirm case status, ownership records, and other essential public information.
  • Prepare, submit, and track court documents to guarantee they are correctly filed and properly acknowledged.
  • Maintain and update the diaries of managing partners and departmental teams, flagging upcoming hearings, mentions, and other time-sensitive commitments.
  • Compile and circulate clear court updates so that legal teams are always aware of new developments, rulings, or scheduling changes.
  • Organise and preserve court records, ensuring every relevant file stays current, complete, and easy to retrieve.
  • Act as the firm’s liaison at court registries and government offices, resolving queries and following up on pending matters.
  • Draft essential court documents including hearing notices, mention date reminders, party invitations, and affidavits of service.
  • Review all submissions to confirm they meet legal standards, court procedures, and formatting requirements before filing.
  • Apply basic knowledge of court pleadings when asked to assist with drafting or formatting initial legal documents.

Requirements & Qualifications

  • Hold a Diploma in Law, business, or a closely related discipline; a law diploma is an added advantage but not mandatory.
  • Have at least two years of practical work experience in a court clerk, legal support, or comparable administrative role within Kenya.
  • Possess a valid Court Process Server Certificate — this is a strict requirement.
  • Demonstrate strong computer proficiency, including word processing, email, document management, and calendar tools.
  • Communicate confidently in English, with a professional and polished manner that reflects well on the firm.
  • Show high integrity, self-motivation, and the ability to work reliably under minimal supervision.
  • Display strong negotiation and customer-service skills, plus a collaborative spirit that supports the wider legal team.
