Role Overview
This role sits at the heart of the freight forwarding operation, ensuring cargo moves smoothly from collection to delivery. Day to day, you will coordinate shipping documentation and track container movements, liaising with shipping lines, depots, and transporters to keep every shipment on schedule. Your attention to detail directly helps the Transport Department avoid costly delays and detention fees while maintaining strong relationships with customers and compliance partners.
Key Responsibilities
- Prepare, check, and archive essential transport documents such as Delivery Orders, Equipment Interchange Receipts, waybills, gate passes, and Proofs of Delivery.
- Manage container interchange workflows—overseeing collection, handover, and return of containers in line with shipping line, depot, and customer requirements.
- Track shipment and container movements in real time, logging updates and proactively coordinating returns to reduce demurrage and detention charges.
- Inspect containers at pick-up and drop-off, recording condition details and flagging any damage or discrepancies to the appropriate parties.
- Serve as the central point of contact among shipping lines, container depots, transport providers, port authorities, customs brokers, and internal teams to resolve operational hiccups.
- Keep meticulous records of all transport, shipment, and container interchange data to support accurate invoicing and reporting.
- Reconcile Proofs of Delivery and interchange documents, investigating and fixing mismatches together with stakeholders.
- Generate routine transport performance and shipment status reports, ensuring adherence to company policies and regulatory standards.
Requirements & Qualifications
- Diploma or Bachelor's degree in Logistics, Supply Chain Management, Transport Management, Business Administration, or a comparable field.
- At least two years of hands-on experience in transport, logistics, shipping, or freight forwarding operations.
- Demonstrated familiarity with container interchange procedures and associated paperwork (Equipment Interchange Receipts, Container Interchange Receipts).
- Solid understanding of shipping documentation requirements and road transport operations.
- Proficiency in Microsoft Office Suite—especially Excel for tracking and reporting, plus Word and Outlook for communication.
- Strong organisational skills with the ability to juggle multiple shipments and containers simultaneously.
- Experience reconciling Proofs of Delivery and coordinating fleet movements is considered a strong plus.
