Job Description

Role Overview

This position leads the secretariat of a professional medical association, acting as the chief operating officer who turns the elected council's strategic vision into concrete programmes and services. You will manage the day-to-day operations that keep the association functional, from coordinating member-facing initiatives to supporting governance processes, while serving as the primary bridge between the secretariat staff and the National Executive Council. Your work ensures that the association’s mandate is consistently delivered between council sessions and that institutional memory and professional management underpin every activity.

Key Responsibilities

  • Direct the secretariat’s staff and resources, establishing clear operational plans that align with the strategic priorities set by the National Executive Council.
  • Implement council decisions and policy directives, converting them into actionable work streams, timelines, and performance targets for the secretariat.
  • Prepare and present regular progress reports to the NEC through the association president, highlighting achievements, risks, and resource needs.
  • Oversee financial management, including budgeting, expenditure control, and ensuring accurate reporting to the council and relevant stakeholders.
  • Coordinate the planning and execution of association events, continuing medical education activities, and member engagement programmes.
  • Serve as the official liaison between the secretariat, the NEC, external partners, government agencies, and other health-sector organisations.
  • Ensure compliance with the association’s constitution, legal obligations, and good governance practices across all secretariat operations.
  • Support the president and council members in preparing for meetings, including drafting agendas, documentation, and follow-up on action items.

Requirements & Qualifications

  • A Bachelor of Medicine and Bachelor of Surgery (MBChB) degree from a recognised university is required.
  • A master’s degree in Public Health, Health Systems Management, Business Administration, or Strategic Management will be considered an added advantage.
  • At least five years of senior-level management experience within a corporate organisation, membership body, NGO, or a comparable institution.
  • Minimum of three years working directly with a board, governing council, or similar oversight body.
  • Demonstrated ability to translate high-level strategy into operational plans and measurable outcomes.
  • Strong leadership and people-management skills, with experience supervising multidisciplinary teams.
  • Excellent written and spoken communication skills, including the ability to produce board-level reports and represent the association publicly.
  • Sound financial literacy and experience overseeing budgets, audits, and donor or member funding.
  • Deep understanding of the healthcare sector, medical professional issues, and the role of membership organisations in advancing professional interests.
