Job Summary
To provide administrative and coordination support to the Safety Department by maintaining safety records, supporting Safety Management System (SMS) processes, coordinating safety activities, and ensuring effective document control and regulatory compliance.
Key Responsibilities
- Maintain and control safety records, reports, manuals, and SMS documentation.
- Manage the safety reporting database system and assist with tracking corrective actions to closure.
- Prepare periodic safety reports, correspondence, notices, and departmental communications.
- Assist with coordinating safety meetings, audits, inspections, training activities, and maintain related records.
- Support incident investigations through record management.
- Maintain document control processes, ensuring safety manuals, policies, and procedures remain current.
- Assist with regulatory submissions, compliance monitoring, and internal/external audits.
- Manage departmental filing, procurement requests, office supplies, and other administrative activities.
- Perform any other duties assigned by the Head of Safety.
Qualifications & Requirements
Education
- Diploma or Bachelor's degree in Aviation Management, Safety Management, Business Administration, or a related field.
- Training in aviation safety, quality management, or SMS is an added advantage.
Experience
- Administrative experience, preferably in aviation, safety, compliance, or quality assurance.
Knowledge & Skills
- Knowledge of aviation safety principles, SMS, and regulatory requirements.
- Strong organizational, document management, and administrative skills.
- Proficiency in Microsoft Office applications.
- Excellent communication, reporting, and interpersonal skills.
- High level of accuracy, confidentiality, and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
